Full Job Description

Job Description
The Behavior Place is seeking an organized, detail-oriented, and self-motivated Office Administrator to support the daily operations of our ABA clinics. This position works closely with clinical and administrative leadership to ensure efficient office operations, maintain accurate records, support client documentation processes, and provide excellent customer service to families and team members. The position is primarily remote, with periodic in-person meetings and operational support required.

In order to be successful in this position you should be detail-oriented, professional and have excellent written and verbal communication skills.

Office Administrator Responsibilities:

Provide administrative support primarily for Washington operations, and other clinic locations as needed.
Answer incoming calls, monitor voicemail messages, and respond to general inquiries.
Communicate with parents regarding scheduling, paperwork, and other administrative matters.
Complete Intake Surveys for potential clients.
Contact families when clients are late, absent, leaving early, or when issues require administrative follow-up.
Assist with paperwork, form tracking, and document organization.
Serve as the first administrative point of contact for Washington operations.
Escalate issues outside the scope of the position to the Administrative Coordinator.
Perform additional administrative duties as assigned by the Administrative Team.

Office Administrator Requirements:

High school diploma or a bachelor’s degree in business, administration, or a related field.
Familiarity with insurance verification, medical records, scheduling, or HIPAA requirements.
2 or more years’ office administration experience in an ABA clinic or medical field.
Proficient in a variety of computer software applications including Google (Docs, Sheets, and Gmail).
Comfortable handling confidential information.
Multi-tasking and time-management skills, with the ability to prioritize tasks
This position has a potential to be completed in a work from home setting though periodic in person meetings will be required.

Job Type/Hours:

Part-time, approximately 30 hours per week.
Monday–Friday, primarily 10:00 am–4:00pm PST (1:00pm - 7:00pm EST).
Schedule may be flexible depending on business needs.

Benefits:

Paid time off
Hybrid (85-90% remote)

Work Location: Dependent upon employee location.

Pay: $17.00 - $22.00 per hour
