Job Summary:

The Office Administrator provides critical administrative, scheduling, and inventory support to the Field Service team while delivering excellent customer service to clients, vendors, and sales staff. The ideal candidate is a self-motivated, detail-oriented team player who can efficiently prioritize multiple tasks in a fast-paced environment.

Essential Job Duties:

Reception & Customer Service: Greet visitors, answer and route phone calls, and professionally respond to inquiries from customers, vendors, and co-workers.
Operations & Scheduling: Schedule service repairs/preventive maintenance, route field technicians efficiently, and call customers to book equipment servicing.
Financial & Admin Support: Assist with Accounts Receivable, Accounts Payable (including collections), data entry, and updating computer service records.
Quotes & Ordering: Prepare and write quotes for customers; coordinate modifications and warranty repairs with service departments and vendors.
Shipping & Inventory: Handle parts ordering, receiving, inspection, and inventory tracking. Arrange shipments for customer deliveries and branch transfers, including gathering freight quotes and preparing Bills of Lading.

Additional Job Duties:

Event coordination.
Ability to be flexible as needs change with a positive and friendly attitude.
Other duties as assigned.

Qualifications:

4+ years of customer service experience (preferable in a mechanical, industrial, or service-related business).
Verbal Skills: Effectively present information and respond professionally to questions from customers, vendors, and co-workers.
Writing Ability: Write clear and concise memos, letters and emails to customers, vendors, and branch personnel.
Organizational Skills: Be able to manage several tasks simultaneously and efficiently. Must be detail-oriented, insuring all routine daily tasks and incoming tasks are completed quickly and accurately. Be able to pick up where left off with ongoing projects.

Reasoning Ability: Be able to interpret and follow instructions furnished in written, oral or schedule format, adapting where necessary to achieve objective.
Computer Skills: Proficiency in the full suite of programs in Microsoft Office; type 50 words per minute
Ability to operate a forklift.

Preferred Skills:

Knowledge of Cost Accounting and Work Order processing.
Knowledge of Materials Purchasing, order point/order quantities.
Knowledge of Warranty Processing.

Physical Demands:

Must be able to occasionally lift 50 pounds and use stairs.
Ability to operate a forklift.
Sit at computer/desk for long periods of time.
