Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports overall office productivity. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating a welcoming and well-managed workspace. As an Office Manager, you will be the backbone of our administrative team, fostering a positive environment that enables our team to thrive and deliver outstanding results.

Duties

Oversee daily office operations, including managing supplies, equipment, and facilities to ensure a functional workspace.
Coordinate front desk activities, greeting visitors and managing multi-line phone systems with professionalism and courtesy.
Handle calendar management, scheduling meetings, appointments, and conference rooms efficiently.
Maintain accurate records through data entry, filing systems, and document proofreading to support administrative accuracy.
Utilize productivity software such as Microsoft Office, Google Workspace, spreadsheets, and word processing tools to produce reports and correspondence.
Manage bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar software.
Support client communication and customer service efforts by providing timely responses via phone or email while maintaining excellent phone etiquette.
Assist with clerical tasks such as typing documents, preparing presentations, and organizing files for easy retrieval.
Facilitate communication between departments or external partners to ensure seamless workflow and project coordination.
Provide technical proficiency in computer literacy to troubleshoot basic issues and improve office efficiency.

Qualifications

Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and spreadsheets for data management.
Experience with multi-line phone systems, front desk duties, and customer service excellence.
Familiarity with QuickBooks or other bookkeeping software for financial tasks.
Strong computer skills including data entry, file management, proofreading, and technical troubleshooting.
Excellent time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
Previous experience as a dental or medical receptionist or personal assistant is a plus but not required.
Demonstrated professionalism in phone communication and office etiquette with a focus on client support and organizational efficiency.
