Position Summary
An established manufacturing company in the Dayton, Ohio area is seeking an experienced Shipping & Receiving Manager to oversee daily shipping, receiving, and warehouse activities.
This position is responsible for ensuring incoming materials and outgoing customer orders are processed accurately, efficiently, and on time. The Shipping & Receiving Manager will lead department personnel, coordinate inbound and outbound freight, maintain accurate inventory and transaction records, and work closely with other departments to support efficient material flow and customer requirements.
Shipping Operations
- Oversee daily outbound shipping activities and ensure customer orders are shipped accurately and on time.
- Review shipping schedules, customer orders, and production status to establish daily priorities.
- Coordinate truckload, LTL, parcel, and other freight shipments with carriers and logistics providers.
- Schedule carrier pickups and ensure shipments are prepared and staged prior to driver arrival.
- Verify quantities, part numbers, customer information, shipping addresses, and shipment details before release.
- Ensure required shipping documentation is accurate and complete, including bills of lading, packing slips, shipping labels, and customer-specific documentation.
- Monitor expedited and priority shipments and communicate potential delays.
- Investigate and resolve shipping discrepancies, shortages, damaged freight, incorrect shipments, and carrier-related issues.
- Monitor freight costs and identify opportunities to reduce transportation expenses while maintaining service requirements.
- Maintain organized staging and shipping areas to support efficient product flow.
Receiving Operations
- Oversee daily receiving activities for incoming raw materials, components, supplies, equipment, and other deliveries.
- Coordinate inbound deliveries and dock schedules.
- Ensure incoming materials are unloaded, inspected, counted, identified, and processed accurately.
- Verify received quantities, part numbers, purchase order information, packing slips, and supporting documentation against physical deliveries.
- Ensure receipts are entered accurately and promptly into the company's ERP system.
- Identify and document shortages, overages, damaged materials, incorrect items, and other receiving discrepancies.
- Communicate receiving discrepancies to the appropriate departments.
- Coordinate the handling of damaged, rejected, or nonconforming incoming materials.
- Ensure received materials are properly labeled and moved to the appropriate storage, production, inspection, or staging location.
- Assist with resolving purchase order, packing slip, quantity, and receiving discrepancies.
ERP & Inventory Responsibilities
- Accurately process and oversee shipping and receiving transactions within the company's ERP system.
- Ensure incoming materials are received against the appropriate purchase orders.
- Verify part numbers, quantities, purchase order information, and receiving information before completing transactions.
- Ensure finished goods and customer shipments are properly processed before leaving the facility.
- Verify physical quantities shipped or received agree with quantities recorded in the ERP system.
- Review transactions for accuracy and correct errors promptly.
- Research inventory discrepancies using transaction history and supporting documentation.
- Work cross-functionally to resolve discrepancies between physical inventory and system records.
- Ensure transactions are entered promptly to maintain accurate inventory levels.
- Maintain supporting documentation for shipping, receiving, and inventory transactions.
- Assist with physical inventory and cycle-count reconciliation.
- Identify recurring transaction errors and implement process or training improvements.
- Train department employees on the ERP functions required for their assigned responsibilities.
- Follow established internal controls regarding inventory adjustments and transaction corrections.
Team Leadership
- Supervise, train, schedule, and provide daily direction to Shipping & Receiving employees.
- Assign daily responsibilities based on inbound deliveries, outbound shipments, production requirements, and department workload.
- Monitor employee productivity, attendance, accuracy, quality, and performance.
- Ensure employees are properly trained on department procedures, ERP transactions, customer requirements, equipment operation, and safety expectations.
- Coach employees and address performance or conduct concerns in coordination with management.
- Evaluate staffing needs and communicate staffing and overtime requirements.
- Ensure adequate coverage for both shipping and receiving functions.
- Promote accountability, teamwork, organization, cross-training, and continuous improvement.
Communication & Coordination
- Communicate regularly with internal departments regarding material availability, completed orders, and shipping priorities.
- Coordinate with purchasing personnel regarding incoming materials, vendor deliveries, shortages, and receiving discrepancies.
- Work with customer-facing teams regarding shipping requirements, delivery schedules, and shipment concerns.
- Coordinate with accounting personnel regarding freight charges, receiving records, invoice discrepancies, shipping documentation, and transaction issues.
- Work with quality personnel when incoming materials require inspection or when damaged or nonconforming materials are received.
- Communicate shipment delays, material shortages, carrier problems, capacity issues, and other significant concerns to management.
- Maintain professional working relationships with carriers, drivers, vendors, customers, and internal departments.
Safety & Compliance
- Maintain clean, organized, and safe shipping, receiving, dock, and staging areas.
- Ensure employees follow company safety policies and proper material-handling procedures.
- Ensure forklifts, pallet jacks, dock equipment, and other material-handling equipment are operated safely.
- Maintain clear and properly organized loading docks and receiving areas.
- Report equipment damage, safety concerns, accidents, and injuries according to company procedures.
- Ensure inbound and outbound shipments comply with applicable customer, carrier, vendor, and regulatory requirements.
- Participate in safety meetings, training, and continuous-improvement initiatives.
Qualifications
- High school diploma or GED required; associate degree or additional education in logistics, supply chain, operations, or management preferred.
- Minimum of 3 years of shipping, receiving, warehouse, logistics, or manufacturing experience preferred.
- Previous supervisory or leadership experience strongly preferred.
- Experience coordinating LTL, truckload, parcel, and other freight shipments preferred.
- Experience with receiving procedures, purchase orders, packing slips, bills of lading, and inventory transactions.
- Experience using an ERP or inventory-management system preferred.
- Strong understanding of how shipping and receiving transactions affect inventory records.
- Working knowledge of Microsoft Excel, Outlook, and other Microsoft Office applications.
- Forklift experience preferred.
- Strong organizational, problem-solving, time-management, written, and verbal communication skills.
- Strong attention to detail and commitment to inventory and transaction accuracy.
- Ability to effectively supervise employees and hold team members accountable for accuracy, productivity, and safety.
Physical Requirements
- Ability to work in a manufacturing and warehouse environment.
- Ability to stand and walk for extended periods.
- Ability to bend, reach, push, pull, and perform physical activities associated with warehouse operations.
- Ability to lift and/or move up to 50 pounds with or without reasonable accommodation.
- Ability to safely work around forklifts, trucks, loading docks, machinery, and other warehouse equipment.
- Ability to work in varying warehouse temperatures and conditions.
