Assistant Community Manager

Job Summary

The Assistant Community Manager supports the Community Manager in overseeing the daily operations, maintenance, and financial administration of the condominium association. This role acts as a primary liaison between the residents, the Board of Directors, and on-site staff, ensuring that the community remains a highly desirable place to live while strictly adhering to governing documents, local bylaws, and Fair Housing regulations.

Key Responsibilities

Administration & Board Support

Assist the Community Manager in preparing agendas, packets, and minutes for Board of Directors and annual homeowner meetings.
Field resident inquiries, complaints, and requests (e.g., noise complaints, parking issues, amenity bookings) professionally and efficiently.
Ensure enforcement of community rules, regulations, and CC&Rs (Covenants, Conditions, and Restrictions).
Maintain accurate resident databases, property files, and official association correspondence.
Prepare Association paperwork for closings(purchases/refinances), liaison between the Association and lenders, title companies, realtors and insurance agent.

Financial & Office Management

Process and track monthly homeowner association (HOA) dues, assessments, and late fees.
Assist in accounts payable by processing invoices, reviewing expense reports, and managing purchase orders.
Help prepare the preliminary annual operating budget and monitor financial reports against budget goals.
Handle administrative onboarding for new condo owners and tenants, including processing move-in/move-out paperwork and building orientation packets.

Maintenance & Vendor Coordination

Conduct routine property and facility inspections to identify maintenance issues, safety hazards, and curb appeal concerns.
Create work orders, route them to the maintenance team or contractors, and verify that repairs are completed satisfactorily.
Assist in obtaining bids, negotiating service contracts, and supervising on-site vendors.
Manage maintenance requests and coordinate responses to owners.

Resident Relations & Community Building

Promote a strong sense of community by helping plan and execute community events, social gatherings, and volunteer initiatives.
Communicate community news, updates, and maintenance alerts via newsletters, and community portals.
Address resident disputes diplomatically, mediating conflicts and maintaining a positive living environment.

Qualifications & Requirements

Education: High school diploma or equivalent, Real Estate, Property Management, or a related field (preferred).
Experience: 2+ years of experience in office management, property management, leasing, or community association management.
Skills: Proficiency in industry-specific property management software-Enumerate
Communication: Exceptional verbal and written communication skills; strong conflict resolution abilities.
Knowledge: Familiarity with CC&Rs, condo association laws, and general building maintenance operations.
Team: Be able to work in a team environment- “ Together everyone achieves more”.

Pay: $40,000.00 - $50,000.00 per year
