Full Job Description

We're looking for the person who runs the entire office and back-office for Bulletproof Pond and Lake - the one who keeps invoices going out, money coming in, payroll run, the books clean, the phones answered, and the whole operation organized. The owner is stretched across the field, sales, and marketing and does not have time to manage this seat - so it's built for someone who owns it end-to-end with zero hand-holding.

We're not looking for someone we have to train and direct. We want someone who has done this before and can walk in, look at how we operate, and say "here's what has worked, here's what hasn't," then make it better. If that's you, keep reading.

About us: Since 2019 we've designed, built, and restored acreage ponds, lakes, and water features across Kansas and Missouri. We're privately owned and steadily growing. The owner is busy in the field and on the phone all day and needs a right-hand who can run the office so he doesn't have to.

About the role: This is a wide-ranging job for someone who can genuinely run a small business's office and books. You'll own invoicing, receivables, payroll, bookkeeping, HR onboarding and offboarding, client communication, and the day-to-day of the office. Basically everything except estimating, marketing, conducting hiring interviews, and paying the bills - those stay with the owner and the field team. You're trusted to run your areas and improve them without hand-holding.

What you'll do:

Own accounts receivable - create and send all invoices, track what's owed, and follow up to collect

Run payroll accurately and on time

Keep the books clean in QuickBooks - categorize transactions, reconcile accounts, keep everything current

Handle onboarding and offboarding - paperwork, setup, and logistics for new hires and departures (the owner runs the actual interviews)

Answer and manage incoming calls, and handle client communication professionally

Manage the owner's calendar, email, and follow-ups

Coordinate with vendors, subcontractors, and job sites

Run the office day-to-day - supplies, files, systems, and whatever keeps things moving

Bring proven systems and improve how we run the back office

You won't handle estimates, marketing, or hiring interviews, and the owner keeps paying the bills - your focus is running the office and back-office cleanly.

What we're looking for:

5+ years running the office and books for a small business (office manager, bookkeeper, or executive assistant) - you've done this before

Comes in with proven playbooks and improves the operation, rather than waiting to be told what to do

Hands-on QuickBooks and full bookkeeping - invoicing, receivables, reconciliations, entries

Payroll experience

Highly organized with sharp attention to detail - nothing slips through the cracks

Self-starter who takes ownership and runs their areas independently - this seat gets very little oversight, by design

Excellent written and verbal communication - you'll represent the business with clients and vendors

Calm under pressure, thick-skinned, no drama

Discreet and trustworthy with sensitive financial and business information

Reliable personal vehicle and valid driver's license (occasional local errands)

Tech-savvy: QuickBooks, Google Workspace, email, scheduling tools

Pay & benefits:

$60,000-$75,000 per year, depending on experience
