Full Job Description

HF Foods Group, Inc. With 15 distribution centers strategically located throughout the nation, HF Foods Group aims to supply the increasing demand for Asian American restaurant cuisine.

PRIMARY FUNCTIONS:

The Senior Office Assistant provides advanced administrative and operational support, ensuring efficient office functions while taking on increased responsibility in coordination, process improvement, and cross-team support. This role serves as a key resource to leadership and junior staff, helping maintain a productive and organized work environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Oversee daily office operations to ensure smooth and efficient workflows
Provide high-level administrative support to managers and leadership
Coordinate schedules, meetings, travel arrangements, and company events
Act as the primary point of contact for office-related inquiries
Maintain and improve office procedures, systems, and documentation
Assist in onboarding and training of new administrative staff
Manage office supplies, vendor relationships, and budget tracking
Prepare reports, presentations, and internal communications
Support HR, finance, or operations teams with administrative tasks as needed
Identify process improvements and implement efficiency initiatives

SKILLS AND QUALIFICATIONS:

3–5+ years of office administration or administrative support experience
Proven ability to handle multiple priorities with minimal supervision
Strong organizational, problem-solving, and communication skills
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
Experience supporting multiple stakeholders or departments preferred
Demonstrated leadership or mentoring experience is a plus

EDUCATION AND/OR TRAINING:

Associate’s or Bachelor’s degree in Business Administration, or related field required.
At least 3-5 years of professional administrative support experience in a professional office environment preferred.
Bilingual in Chinese or Spanish preferred.

Occasional periods of standing or sitting for extended periods of time
