Full Job Description

Job Summary

The Senior Accounts Receivable Specialist is the primary owner of complex customer invoicing and B2B collections for Hastings. This hands-on role manages project, milestone, prepayment, rental, AIA, and other non-routine billing; follows receivables through collection; and resolves invoice and account discrepancies. The position will also be cross-trained to provide backup coverage across additional AR functions, including service billing, cash application, payment reconciliation, credit memos, and credit administration. The successful candidate will work independently, exercise sound judgment, and partner with customers and internal teams to keep invoices accurate and cash moving.

Essential Duties and Responsibilities

The position's primary day-to-day ownership is complex customer billing and collections. Duties listed under Cross-Training and Backup Responsibilities are functions the employee may perform during absences, peak workloads, or as business needs require; they are not necessarily part of the regular daily workload. This list is not all-inclusive and may be adjusted as business needs evolve.

Primary Responsibility: Complex Customer Billing

Prepare accurate and timely invoices for custom projects, deposits and prepayments, milestone and progress billing, AIA billing, equipment rentals, and rebate or incentive programs.
Review purchase orders, contracts, quotes, schedules of values, payment terms, freight terms, tax status, and supporting documentation before billing.
Submit invoices through customer portals and maintain required backup, including lien waivers, certificates, receipts, and other customer-specific documentation.
Coordinate with Sales, Project Management, Service, Logistics, and Accounting to resolve billing questions before they delay payment.
Obtain, validate, and maintain customer sales tax exemption certificates and coordinate resolution of tax-related billing issues.

Primary Responsibility: Collections and Customer Account Management

Own the accounts receivable aging and collection process, including customer statements, reminder emails, phone follow-up, dispute resolution, and documented collection notes.
Build professional customer relationships while remaining persistent and accountable for obtaining payment according to agreed terms.
Investigate short pays, deductions, disputed invoices, missing documentation, and other barriers to payment; drive issues to resolution and escalate material risks promptly.
Maintain accurate collection notes, follow-up commitments, and account status updates in the ERP and related systems.

Cross-Training and Backup Responsibilities

Provide backup coverage for service work billing, routine product or sales order invoicing, and other customer billing normally assigned to another team member.
Apply customer payments (ACH, wire, check, credit card) open invoices when providing backup coverage.
Research and reconcile unapplied, misapplied, duplicate, or unidentified payments. Prepare and process approved credit memos, adjustments, refunds, and account corrections with appropriate documentation.
Support credit administration, including customer credit applications, limits, holds, payment terms, and special-term questions, within established approval authority.

Additional Supporting Responsibilities

Produce AR aging, collection, and other management reports; support month-end close and account reconciliation activities as assigned.
Use Microsoft Dynamics 365 Business Central, Jet Reports, Excel, and related systems to maintain accurate records and improve visibility.
Document standard work, follow established controls, identify process gaps, and implement practical improvements in partnership with Finance leadership.

Qualifications

At least 4 years of hands-on accounts receivable experience involving complex B2B billing, collections, account resolution, or related credit functions.
Demonstrated experience with complex or project-based billing, such as milestone billing, deposits and prepayments, progress or AIA billing, rentals, custom equipment, or engineered projects.
Experience in industrial equipment, manufacturing, construction, distribution, service, or custom engineering strongly preferred.
Working knowledge of purchase orders, customer portals, commercial payment terms, freight terminology, sales tax exemptions, and invoice dispute resolution.
ERP experience required; Microsoft Dynamics 365 Business Central strongly preferred. Jet Reports experience is a plus.
Intermediate Excel skills, including sorting, filtering, formulas, PivotTables, and XLOOKUP or VLOOKUP.
High school diploma or GED required. Associate or bachelor's degree in accounting, finance, business, or a related field preferred; equivalent experience will be considered.

Job Details

Full-time, Monday-Friday, 40 hours per week. This is a non-exempt position.
Primarily onsite in New Berlin during training. Limited hybrid flexibility may be available after successful training and demonstrated proficiency, consistent with company policy.
Eligible for Hastings' standard employee benefits package.

Pay: $24.00 - $32.00 per hour
