Receptionist / Administrative Assistant

Company: Balance Bookkeeping
Job Type: Full-time
Pay: $19–$21 per hour, depending on experience
Schedule: Monday through Friday, 8:00 a.m.–4:00 p.m.

About the Position

Balance Bookkeeping is looking for a professional, organized, and dependable Receptionist / Administrative Assistant to support our office and provide excellent service to clients, employees, and visitors.

The ideal candidate is bilingual in English and Spanish, communicates professionally, handles confidential information with discretion, and is comfortable working in a busy office environment.

Responsibilities

Answer and direct incoming phone calls
Greet clients, employees, and visitors professionally
Respond to general emails and client questions
Schedule appointments and maintain office calendars
Receive, sort, and distribute mail and documents
Scan, copy, file, and organize company records
Assist with data entry and document preparation
Maintain organized digital and physical filing systems
Help collect paperwork and follow up on missing documents
Assist with office supply orders and general office organization
Support payroll, bookkeeping, and administrative staff as needed
Protect confidential employee, client, payroll, and financial information
Complete bank runs, errands, or document deliveries when needed

Qualifications

Bilingual in English and Spanish is required
Previous receptionist, administrative, or office experience is preferred
Professional phone and customer-service skills
Strong organization and attention to detail
Comfortable using email, Microsoft Word, Excel, and office equipment
Ability to learn new software and office procedures
Dependable, punctual, and able to manage multiple priorities
Professional appearance and communication
Ability to handle sensitive and confidential information appropriately
Valid driver’s license and reliable transportation

Preferred Experience

Experience in any of the following areas is helpful but not required:

Bookkeeping or accounting offices
Payroll administration
Accounts payable
Data entry
QuickBooks
Document management
Agriculture, restaurant, or small-business administration
