Full Job Description

Front Desk Receptionist (Part Time)

2 Part Time Positions - 7:30 a.m. to 12:00 p.m. & 12:00 p.m. to 4:30 p.m.

$18.00/Hour

Monday through Friday

Job Summary

The Front Desk Representative serves as the primary point of contact for employees, visitors, vendors, contractors, interview candidates, and delivery personnel entering the facility. The representative is responsible for maintaining a professional, welcoming, organized, clean, and secure lobby and reception area while providing administrative and hospitality support throughout the building.

1. Employee & Guest Reception

- Greet employees professionally as they enter the building each morning and acknowledge them as they leave in the evening.

- Welcome all visitors, guests, vendors, contractors, and interview candidates in a courteous and professional manner.

- Ensure all visitors, vendors, and contractors properly sign in upon arrival.

- Direct vendors and contractors to the appropriate location after completing the required sign-in process.

- Contact Human Resources upon the arrival of candidates scheduled for interviews.

- Contact employees when their guests or visitors arrive.

- Assist guests with signing in using the lobby kiosk. The kiosk will notify the appropriate employee that their visitor has arrived. Offer waiting guests coffee or water and direct them to restroom facilities when needed.

- Ask guests waiting for an employee to have a seat in the designated lobby/waiting area and maintain a professional and helpful presence at the front desk throughout the assigned shift.

2. Lobby & Hospitality Responsibilities

- Maintain the lobby and front desk area in a clean, neat, organized, and professional condition at all times.

- Regularly inspect the lobby coffee station and ensure it remains clean and presentable.

- Keep coffee and related supplies fully stocked throughout the day.

- Stock the lobby refrigerator with water and soda as needed.

- Monitor the overall appearance of the lobby throughout the shift and address cleanliness or presentation issues promptly.

3. Catering & Meeting Support

- Assist with receiving catering orders and deliveries.

- Confirm that catering orders are delivered to the correct conference room, classroom, or designated area.

- Assist with setting up catered lunches, meetings, training sessions, or other events when requested.

- Coordinate with appropriate employees regarding catering deliveries or special setup instructions.

4. Mail, Deliveries & Administrative Support

- Receive incoming mail and packages from USPS and other carriers.

- Direct, distribute, or route incoming mail and packages to the appropriate recipient or department.

- Receive vendors and delivery personnel and provide appropriate directions after sign-in

- Answer incoming telephone calls professionally.

- Route telephone calls to the appropriate employee, department, or responsible party.

- Use Microsoft Teams to communicate with employees and departments throughout the building as necessary.

5. Communication

- Use Microsoft Teams for internal communication.

- Contact employees when visitors or deliveries arrive.

- Communicate with Human Resources regarding interview candidates.

- Coordinate with employees regarding vendors, contractors, catering orders, deliveries, and guests.

- Promptly report unusual circumstances, security concerns, or facility issues to the appropriate contact.

6. End-of-Day Security Check

- Check all designated doors on the first floor.

- Confirm that doors requiring security at the end of the business day are properly closed, locked, and secured.

- Report any door that cannot be properly secured or any other security concern immediately to the appropriate building contact or management.

- Ensure the front desk and lobby are left clean, organized, and presentable for the following business day.

Service Standard

All Front Desk duties shall be performed in a professional, courteous, attentive, and customer-service-oriented manner. The Front Desk Representative is expected to maintain confidentiality, professionalism, and awareness of building activity.

Pay: $18.00 per hour
