Baker & DiSalvo is a growing personal injury law firm with multiple offices throughout Florida. We are looking for an experienced, hands-on Facilities Manager to oversee the maintenance, operations, safety, security, and overall functionality of our office locations.
This is not a desk-only position. We're looking for someone who enjoys rolling up their sleeves and taking a hands-on approach to maintaining and improving our facilities. The ideal candidate is both a skilled handyman and an experienced facilities professional who can manage projects, coordinate vendors, troubleshoot issues, and complete repairs as needed.
Position Overview
The Facilities Manager is responsible for ensuring our offices remain safe, functional, secure, and well-maintained while supporting the firm's continued growth. This role oversees facility operations across multiple locations, manages maintenance projects and vendor partnerships, performs hands-on repairs, supports new office and employee setups, assists with lease management, oversees security and monitoring systems, ensures regulatory compliance, and partners with HR and firm leadership on emergency preparedness and disaster planning.
The ideal candidate is comfortable balancing hands-on maintenance work with administrative responsibilities, vendor management, project coordination, and responding to time-sensitive facility and operational issues.
Key ResponsibilitiesFacility Operations & Maintenance
- Oversee the daily maintenance and operation of all firm offices.
- Perform routine repairs and preventative maintenance to ensure all facilities remain in excellent working condition.
- Coordinate preventative maintenance for HVAC, electrical, plumbing, lighting, security, and other building systems.
- Conduct regular facility inspections and proactively address maintenance concerns before they impact operations.
- Respond promptly to facility-related issues and emergencies.
- Maintain a clean, safe, organized, and professional appearance throughout all office locations.
- Monitor facility needs across locations and recommend improvements, repairs, or upgrades to firm leadership.
Hands-On Repairs & Building Maintenance
- Perform and manage light construction, renovations, and general building maintenance.
- Complete repairs involving drywall, painting, carpentry, lighting, doors, fixtures, ceiling tiles, flooring, and other building components.
- Assemble and move office furniture, equipment, and workstations as needed.
- Assist with office remodels, renovations, and workspace improvements.
- Utilize general knowledge of light construction methods, building codes, and repair processes, particularly within a commercial office environment.
- Assist with demolition, preparation, and other hands-on work associated with larger renovation or improvement projects when appropriate and when doing so can help reduce project costs.
- Identify when specialized work requires a licensed contractor or qualified vendor and coordinate those services accordingly.
New Hire, Office & IT Setup
- Participate in office and workstation setup associated with new hire onboarding.
- Coordinate with HR, IT, and department leadership to ensure new employees have properly prepared workspaces, furniture, equipment, access, and other facility-related needs on or before their start date.
- Assist with office moves, workstation changes, department relocations, and other workspace adjustments.
- Support the setup and opening of new office locations as the firm continues to grow.
- Coordinate with vendors and internal teams to ensure new and existing workspaces are ready for employees.
Vendor & Project Management
- Build and maintain strong relationships with vendors, contractors, landlords, and service providers.
- Obtain and compare bids and quotes for maintenance, repairs, renovations, construction, and other facility-related projects.
- Coordinate and oversee vendors for larger projects, including office renovations, remodels, repairs, and improvements.
- Serve as the primary point of contact for vendors throughout facility projects and ensure work is completed on time, within budget, and to firm standards.
- Coordinate project schedules, access, materials, and other logistical requirements.
- Monitor vendor performance and address concerns regarding quality, timeliness, or cost.
- Oversee larger projects from initial quote through completion, including coordinating with leadership on project scope and budget.
- Maintain appropriate documentation, quotes, contracts, warranties, and project records.
Security, Monitoring & Building Systems
- Serve as the primary point of contact for office security systems and facility-related monitoring and alert systems.
- Coordinate with security and monitoring providers, including systems such as ADT, fire alarm panels, access control systems, cameras, and other building alert systems.
- Respond to security, fire alarm, building system, and other facility alerts and coordinate appropriate follow-up.
- Monitor recurring issues with security and building systems and coordinate repairs or service calls as needed.
- Maintain current contact information, procedures, and documentation for security and monitoring vendors.
- Partner with leadership and office management to address security concerns and ensure appropriate facility protocols are followed.
Lease & Landlord Management
- Assist with the administration and management of the firm's office leases.
- Work with firm leadership and landlords regarding lease renewals, amendments, new leases, and other lease-related matters.
- Coordinate with landlords and property management companies regarding building maintenance, repairs, access, utilities, common areas, and other property-related concerns.
- Track important lease dates, renewal deadlines, and facility-related obligations.
- Assist leadership with evaluating facility needs and potential new office locations.
- Coordinate the facility-related aspects of opening, closing, relocating, or expanding office locations.
Budget & Financial Oversight
- Develop and manage facility maintenance and operating budgets.
- Obtain competitive pricing and identify opportunities to reduce costs while maintaining quality and safety standards.
- Monitor facility-related expenditures and identify opportunities to improve efficiency.
- Review facility-related invoices and expenses for accuracy and compliance with approved projects and services.
- Maintain records of facility expenses, vendor agreements, and project costs.
Safety, Security & Compliance
- Oversee building security for all firm office locations.
- Ensure offices comply with applicable building codes, OSHA regulations, fire safety requirements, and other applicable safety standards.
- Coordinate required inspections, certifications, and facility-related documentation.
- Identify potential safety hazards and take appropriate corrective action.
- Develop and maintain emergency preparedness and evacuation procedures in partnership with firm leadership and HR.
- Promote a safe, secure, and professional work environment for employees and visitors.
Disaster Planning & Emergency Response
- Partner with HR and firm leadership to develop, maintain, and manage the firm's disaster preparedness and business continuity plans.
- Serve as a primary facilities point of contact during weather events, emergencies, natural disasters, building emergencies, and other situations that may impact firm operations.
- Monitor weather conditions, facility alerts, security systems, and other relevant information to help leadership determine whether office closures, delayed openings, or other emergency measures may be necessary.
- Assist with communicating and coordinating facility-related emergency procedures with leadership, HR, employees, landlords, and vendors.
- Coordinate with vendors, landlords, property management, restoration companies, utility providers, and other service providers following incidents such as water damage, power outages, storm damage, fire alarms, or other facility emergencies.
- Assist with assessing facility damage and coordinating necessary repairs, cleanup, restoration, and follow-up.
- Maintain and update facility-related emergency contact lists, procedures, vendor information, and documentation.
- Participate in post-incident reviews and recommend improvements to the firm's emergency preparedness plans.
Leadership & Collaboration
- Partner with firm leadership, HR, IT, and department managers to prioritize facility needs and improvement projects.
- Communicate regularly regarding maintenance activities, facility concerns, operational updates, security issues, and capital improvements.
- Support HR and IT with employee onboarding, office moves, workstation changes, and other operational needs.
- Assist with special projects that support the firm's continued growth and expansion.
- Provide responsive and professional internal customer service to employees across all firm locations.
Qualifications
- Minimum of 5 years of facilities management or commercial building maintenance experience, preferably overseeing multiple locations.
- Strong handyman skills with experience performing light construction, carpentry, drywall repair, painting, lighting repairs, furniture assembly, and general building maintenance.
- General knowledge of commercial building systems, maintenance operations, building codes, and safety regulations.
- Experience managing vendors, contractors, contracts, and facility improvement projects.
- Experience coordinating or supporting office renovations, remodels, moves, or new office setups.
- Strong problem-solving skills and the ability to troubleshoot facility and building-related issues.
- Excellent organizational and project management skills.
- Strong communication and interpersonal skills.
- Ability to respond to urgent facility, security, or building-related issues when necessary.
- Valid driver's license and the ability to travel between office locations, including occasional overnight travel.
Preferred Qualifications
- Experience with Microsoft Office and facility management software.
- Experience working with security, fire alarm, access control, or building monitoring systems.
- Experience assisting with lease administration or working directly with landlords and property management companies.
- Experience with disaster preparedness, emergency response, or business continuity planning.
- Ownership of personal tools is a plus.
Physical Requirements
- Ability to safely lift and carry up to 50 pounds.
- Ability to frequently walk, bend, climb ladders, kneel, and perform physical maintenance tasks.
- Comfortable working in both office and maintenance environments.
- Ability to perform hands-on maintenance and repair work as needed.
- Ability to travel between firm locations and occasionally work outside of normal business hours in response to emergencies or facility-related needs.
