Full Job Description

Fleet Lease Disposal, Inc. in Boynton Beach, FL is looking for an organized, tech-savvy Administrative Assistant with ERP experience to manage front-desk operations and provide vital support to our internal teams. The ideal candidate will have 2 years of proven experience as an Administrative Assistant or experience in a similar role and working knowledge of the Microsoft Office Suite (Word, Excel, etc.).

Candidate must be able to adapt to a fast-paced business environment, remain calm under pressure and deal with daily issues and problems without undue stress or impact on other employees. Please apply if you reside within reasonable commuting distance.

Candidate screening, selection, and compensation will be based on demonstration and competency of the above-mentioned criteria.

To be successful in this role candidates must be attentive to detail, highly organized with experience managing priorities and deadlines, a fast learner capable of adapting to custom workflows, able to demonstrate business acumen, and excellent oral, written communication, and interpersonal skills. Proficiency of Microsoft Outlook, Excel, and Adobe Document Management required. Prior ERP experience and experience managing dashboards is a plus.

Role and Responsibilities

· Greet visitors, clients, and vendors and direct them appropriately

Managing incoming and outgoing mail, packages, and express deliveries
Managing incoming and outgoing email correspondence, taking messages, and directing calls to the appropriate staff
Handling general correspondence, including faxes, scanning, and copying documents.
Managing incoming calls and emails, screening calls, taking messages, and directing calls to the appropriate staff
Maintain office calendars and schedule meetings
Assist with planning events and coordinating meetings
Perform general clerical duties: filing, photocopying, scanning, proofreading
Order and track office supplies
Keep the front desk and lobby area organized and presentable
Managing calendars for appointments, meetings, and other events.
Organizing and maintaining both physical and digital files.
Accurately entering information into databases or other systems.
Managing and ordering office supplies as needed.
Support Accounting and Title Departments as needed
Experience Managing Dashboard
Communicate with Customers regarding Accounts Receivable
Maintaining Office Security
Ensuring the security of the office by monitoring access and following safety procedures.
Assisting with travel arrangements for employees, including booking flights and accommodation.
Sort, download, and organize backup documentation for invoice submission to customers
Download invoices daily and sort, download, and organize backup documentation before email invoice submission to customers
Follow up with customers regarding past-due invoices
Assist with emailing remittance advice to customers and vendors as needed.
Ensure clients’ documentation is up to date, including LPOAs and electronic signatures.
Review Vehicle Purchase Bills of Sales for signature by both parties
Scan Bills of Sales into the ERP system.
Providing administrative support to other staff members as needed

Requirements

Education – Associates Degree/Undergraduate Student

Experience – 2 years administrative assistant/ 1 year customer service experience

ERP experience with Accounting modules

Strong Microsoft and Excel skills

Strong communication and organizational skills

Personal characteristics – Task driven, highly organized, strong work ethic, willing to take on new tasks

Physical abilities – Able to sit for an extended period

Proficiency with standard suite of Microsoft Office

Reliable transportation
