Service Writer / Warranty ClerkPosition Summary

We are seeking a highly organized and detail-oriented Service Writer / Warranty Clerk to join our Agricultural Equipment and Trailer dealership. This position serves as the primary point of contact for customers bringing equipment in for service while also managing manufacturer warranty claims and documentation.

The ideal candidate thrives in a fast-paced environment, communicates professionally with customers, and can manage multiple projects while maintaining exceptional accuracy. Agricultural equipment or mechanical knowledge is a plus but is not required for the right candidate who is eager to learn.

Primary ResponsibilitiesCustomer Service

Answer incoming phone calls and assist customers with service-related questions.
Schedule service appointments and communicate with customers regarding repair status.
Professionally greet customers and provide outstanding customer service.
Collect deposits and down payments for repairs as required.
Maintain clear communication with customers throughout the repair process.

Service Writing

Create accurate repair orders for technicians.
Listen carefully to customer concerns and document repair requests thoroughly.
Prepare repair estimates and quotes.
Update estimates as repairs change or additional work is required.
Coordinate with technicians and the parts department to ensure timely repairs.
Maintain organized and accurate service records.

Warranty Administration

Gather all required warranty documentation and information.
Submit warranty claims to equipment and trailer manufacturers.
Ensure claims are completed accurately and submitted on time.
Follow up on outstanding claims and manufacturer requests.
Maintain warranty records and supporting documentation.
Work closely with service technicians and manufacturers to resolve warranty issues.

QualificationsRequired

Excellent computer skills and the ability to learn dealership management software.
Strong phone etiquette and customer service skills.
Excellent written and verbal communication.
Strong organizational skills with exceptional attention to detail.
Ability to multitask and prioritize work in a fast-paced environment.
Ability to work independently while also functioning as part of a team.
Professional attitude and positive work ethic.

Preferred

Knowledge of agricultural equipment, tractors, trailers, or related industries.
Mechanical or repair knowledge.
Previous experience in a service department, dealership, or warranty administration.
Experience preparing estimates, repair orders, or customer invoices.
