Company Overview
Action Care Ambulance provides emergency and non-emergency medical care and transportation services to the Denver Metro area. Committed to delivering state-of-the-art care and supporting local hospitals and medical facilities, Action Care Ambulance continues to expand its services to meet the evolving needs of the community.

Position Summary

The Pre-Billing Specialist is responsible for supporting the ambulance billing process by conducting detailed audits of EMS Patient Care Reports (PCRs), Physician Certification Statements (PCSs), and related documentation prior to submission to a third-party billing vendor. This role ensures the accuracy, completeness, and compliance of all billing-related records while maintaining strong attention to detail, data integrity, and adherence to federal and state billing regulations. The Pre-Billing Specialist collaborates with field crews, leadership, administrative staff, and third-party billing partners to resolve documentation deficiencies, improve billing outcomes, and support operational efficiency.

Essential Duties and Responsibilities

Review, audit, and verify EMS patient care documentation to ensure all required information is complete, accurate, and compliant prior to submission for billing.
Research and resolve discrepancies across multiple documentation sources related to billable transports for assigned divisions.
Ensure trip reports, patient care reports (PCRs), face sheets, Physician Certification Statements (PCSs), and supporting documentation meet billing requirements and standards.
Perform accurate data entry within Electronic Health Record (EHR) and Computer-Aided Dispatch (CAD) systems, including updating run statuses to facilitate timely billing submission.
Attach and maintain all required transport documentation received from field crews, ensuring patient demographic information is complete and accurately recorded.
Review all Physician Certification Statements (PCSs) to confirm compliance and appropriateness for transports requiring medical necessity documentation.
Communicate directly with field personnel to obtain corrections, clarifications, or missing information necessary to support billing.
Monitor and follow up on “bounce back” reports and documentation deficiencies to ensure timely resolution and resubmission.
Collaborate with third-party billing companies, internal departments, and external agencies to resolve billing discrepancies, denials, and documentation issues requiring clinical knowledge and expertise.
Generate and distribute weekly quality assurance and error trend reports for supervisory review, identifying recurring documentation issues and opportunities for improvement.
Participate in internal and external billing audits as requested.
Continuously evaluate and recommend process improvements to enhance billing accuracy, compliance, productivity, and operational efficiency.
Maintain awareness of employee schedules and operational activity to ensure communication with crews occurs at appropriate times.

Required Knowledge, Skills, and Abilities

Strong analytical and problem-solving skills with the ability to thoroughly investigate and resolve documentation and billing discrepancies.
Demonstrated proficiency in accurate, high-volume data entry and record management.
Working knowledge of Medicare, Medicaid, and commercial insurance billing requirements, regulations, and reimbursement processes.
Exceptional attention to detail, including the ability to identify errors in documentation, patient demographics, spelling, grammar, transport modes, insurance information, and medical necessity records.
Strong organizational skills with the ability to manage multiple priorities and meet established deadlines.
Effective interpersonal, written, and verbal communication skills with the ability to interact professionally with employees, leadership, vendors, and external partners.
Ability to work independently while contributing positively within a collaborative team environment.
Commitment to maintaining confidentiality and compliance with HIPAA and all applicable healthcare regulations.
