This position is located within the Department of the Interior, U.S. Geological Survey, Office of the Director, Office of the Associate Director for Energy and Mineral Resources, duty stationed in Lakewood, Colorado or Reston, Virginia.
At the full performance level (GS-09) the major duties of this position include, but are not limited to the following:
1. Organize and maintain the calendar for the Deputy Associate Director (DAD), independently prioritizes meetings and conferences, and arranges visits with internal and external entities. Uses thorough knowledge of the Mission Area and awareness of related importance of issues, awareness of urgency of each matter, and overall workload to prioritize the DAD activities.
2. Receive, review, and prioritize incoming electronic mail and determines proper handling by applying knowledge of research and investigative functions and plans of the Mission Area. Responds directly on some items in written or verbal manner as appropriate and refers other materials to the DAD or other appropriate Mission Area staff for response or information. Follows up to ensure that response is timely and in accordance with policy and directives.
3. Review and read all outgoing Mission Area correspondence for procedural and grammatical accuracy and conformance with general policy and the USGS Correspondence Handbook.
4. Organize and make travel arrangements for the DAD in the United States and abroad. Extensive planning of detailed itineraries is frequently involved. Maintains contact with the DAD when he/she is on travel to keep him/her informed of current activities and progress.
5. Arrange travel for the Mission Area Immediate Office staff. Processes all authorizations and vouchers and directly handles discrepancies with the DAD, staff, and the DOI Travel Office.
6. Serve as administrative support to high level meetings involving leadership from other USGS Mission Areas, leadership from other Department of the Interior Bureaus, and high-level external partners.
7. Responsible for scheduling meetings, arranging for meeting facilities, compiling and providing advance agendas and materials, notifies all participants. Follows up with the Energy and Mineral Resources Senior Staff, Immediate Office of the AD staff members, and other participants to ensure that commitments made as a result of the meetings are carried out.

Minimum Qualification Requirements: To qualify for this position, you must meet the following minimum qualifications:
Specialized Experience
To qualify for the GS-09, you MUST possess at least one full year of specialized experience equivalent to at least the GS-08 grade level in the Federal service, or comparable experience not gained through Federal service. Specialized experience is experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. Specialized experience is defined as demonstrated experience:
1. Managing a principal's calendar by coordinating and prioritizing commitments, ensuring efficient use of the principal's time, and adjusting schedules as operational needs change.
2. Monitoring and organizing the principal's email inbox, tracking deadlines, ensuring timely responses, and independently identifying and elevating items requiring immediate attention.
3. Coordinating meeting and event logistics for virtual, hybrid, and in-person engagements, including preparing and distributing materials, organizing agendas, taking meeting notes, and documenting and tracking follow-up actions.
To qualify you MUST meet all three (3) specialized experience statements above.
Desired Experience (Not Required for Qualification):
- Demonstrated ability to prepare materials for the principal, including reviewing documents for the principal's signature to ensure compliance with established policies, procedures, grammar, and formatting standards, and coordinating with the originating staff when corrections or adjustments are needed.
- Experience performing a variety of administrative support functions such as arranging travel, completing timekeeping tasks, managing property and records, and procuring office supplies.
- Skill in maintaining databases, tracking systems, shared repositories, and file structures; locating, researching, and summarizing information from files and documents as needed or in anticipation of the principal's requirements.
Volunteer Experience: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
