Full Job Description

Job Summary
The Quality Control Manger is responsible for overseeing the operations of multiple branches within the home care agency, ensuring the delivery of high-quality services, strict adherence to compliance standards, and the efficient operation of each location. This position requires a proactive approach to identifying and resolving issues, implementing process improvements, and empowering staff to enhance overall branch performance and client satisfaction. The Regional Manager will regularly visit branches, maintain effective communication with branch teams, and use problem-solving skills to address challenges and drive continuous improvement.

Key Responsibilities

Branch Operations

Oversee day-to-day operations of assigned branches, ensuring compliance with agency policies, industry standards, and regulations.
Assist branch managers in upholding quality service standards, optimizing utilization, and fostering communication with case managers and insurance providers.
Resolve operational issues, including staffing challenges, caregiver misconduct, and client concerns, promptly and effectively.
Foster operational efficiency by identifying bottlenecks and implementing initiatives to streamline processes.
Develop and promote strategies for process improvements to optimize service delivery and client satisfaction.
Address and escalate any ambience or environmental issues at the branches that may affect staff or client comfort, ensuring timely resolution.

Safety Measures

Ensure that each branch has a comprehensive emergency preparedness plan for various situations, including medical emergencies, natural disasters, and power outages.
Assess and ensure the branches have the appropriate safety measures in place to protect staff and clients.

Equipment and Supplies

Assess the availability and proper utilization of equipment and supplies to meet operational needs.
Ensure branches are stocked with adequate personal protective equipment (PPE).
If the branch has a company car, assess the condition of the vehicle and confirm that it is properly maintained.
Implement and maintain a system for reordering supplies and equipment as needed to avoid shortages.

Compliance and Quality Assurance

Ensure branches adhere to all legal, regulatory, and agency requirements, including documentation accuracy and timeliness.
Collaborate with the Quality Assurance team to conduct audits, identify discrepancies, and implement corrective action plans.
Monitor compliance with caregiver and client documentation standards.
Ensure adherence to the agency’s data privacy policy, safeguarding client and caregiver information.
Ensure all systems are password-protected at all times.
Conduct internal assessments to ensure compliance, identify vulnerabilities, and hold individuals accountable for data privacy breaches or violations.

Training and Development

Oversee caregiver onboarding and training programs to ensure consistency with agency standards.
Review new hire conversion rates, training completion, and caregiver certifications.
Collaborate with branch managers to identify and address staff training needs.

Business Development

Identify opportunities for growth within the region, including new client acquisition and service expansion.
Collaborate with the marketing team to promote the agency’s services and build brand awareness.
Represent the agency at community events, networking sessions, and industry conferences to foster partnerships.

Team Leadership and Supervision

Conduct regular branch visits (a minimum of three days per week) to provide on-site support, monitor operations, and ensure staff accountability.
Supervise field staff performance, including caregiver documentation, client visits, and service quality.
Review and approve reports from branch managers and team coordinators, including service agreements and visit compliance.

Issue Resolution

Serve as the primary point of contact for resolving escalated issues, including caregiver grievances, client complaints, and interdepartmental conflicts.
Implement proactive measures to prevent recurring issues and improve branch performance.
Develop a structured escalation process for unresolved issues to ensure timely intervention by senior leadership.

Reporting and Analytics

Prepare and submit detailed branch visitation reports, including identified challenges, resolutions, and corrective actions.
Track operational metrics and provide insights to improve branch performance.
Maintain thorough records of audits, compliance reviews, and branch improvement initiatives.

Skills

Strong leadership, interpersonal, and communication skills.
Ability to resolve complex issues and implement effective solutions.
Proficiency in operational and scheduling software, including data analysis tools.
Ability to travel regularly to assigned branches.
