Full Job Description

Position Classification

FT Staff non-union

Position Summary

Provide instrument distribution, sterilization, inventory control, and customer service support to students, faculty, and staff while maintaining compliance with infection prevention, OSHA, HIPAA, and departmental standards.

Essential Duties and Responsibilities

Inventory Control & Asset Management

Maintain accurate inventory levels of dental instruments, equipment, handpieces, materials, and clinical supplies throughout the School of Dentistry.
Utilize computerized inventory management systems, RFID technology, barcode tracking, and related software to track inventory movement and asset utilization.
Conduct routine inventory counts, cycle counts, audits, and reconciliations to ensure inventory accuracy.
Monitor inventory usage trends and communicate supply needs to management to prevent shortages and maintain operational efficiency.
Receive, inspect, verify, label, and stock incoming shipments.
Organize inventory storage areas and maintain proper stock rotation practices.
Assist with inventory reporting, data entry, and documentation.
Investigate inventory discrepancies, missing items, damaged equipment, and tracking issues.

Instrument Distribution & Clinical Support

Distribute instruments, handpieces, equipment, and clinical supplies to students, faculty, and staff utilizing the computerized tracking system.
Receive and process returned instruments and equipment.
Ensure accurate checkout and return transactions within the tracking system.
Support clinic operations by ensuring required instruments and supplies are available for patient care and educational activities.

Sterilization & Instrument Processing

Perform decontamination, inspection, assembly, packaging, sterilization, and storage of reusable dental instruments and equipment according to established protocols.
Inspect cassettes and procedure kits for completeness, functionality, and quality assurance.
Operate washers, ultrasonic cleaners, sterilizers, and related processing equipment.
Maintain sterilization documentation and records as required.

Compliance, Customer Service & Other Duties

Provide professional customer service to students, faculty, staff, and visitors.
Comply with University, OSHA, HIPAA, CDC, infection prevention, and departmental policies and procedures.
Participate in workflow improvement initiatives, training, and special projects.

Minimum Qualifications

Education – A high school diploma or GED
Employment – Six months to two years (Equivalent combination of education and employment).

Preferred Qualifications

Knowledge of sterilization processes preferred.

Knowledge, Skills, and Abilities

Customer service, organization, attention to detail, computer skills, inventory control systems, teamwork.

Physical Requirements

Job requires repetitive lifting of light weight objects with frequent bending and stooping, or repetitively lift average weight objects where frequent bending or stooping alternates with lighter activities. Occasionally lifts heavy objects (over 50 pounds).

Work Environment

Occasional exposure to objectionable conditions or variations such as those found in variable weather conditions or light industrial settings.

Licenses/Certifications

BLS, HIPAA, OSHA training required or obtained within the designated timeframe.
