Full Job Description

Guest Malach Eye Specialists is seeking an organized, compassionate, and detail-oriented Surgery Scheduler to join our growing team. We are a brand-new comprehensive ophthalmology practice opening in October 2026 and are committed to providing exceptional patient care from the first office visit through surgery and postoperative recovery.

The Surgery Scheduler plays a vital role in coordinating every aspect of the surgical experience. The ideal candidate is highly organized, communicates effectively with patients and healthcare professionals, and enjoys ensuring every detail is handled accurately.

Responsibilities

Coordinate and schedule cataract surgeries and other ophthalmic procedures
Educate patients regarding the surgical process, expectations, and postoperative care instructions
Schedule preoperative testing, medical clearances, postoperative visits, and follow-up appointments
Coordinate surgery dates and availability with physicians, surgery centers, anesthesia providers, and referring offices
Obtain insurance authorizations and verify benefits as needed
Prepare and submit surgical paperwork and documentation required by surgery centers and hospitals
Communicate with patients regarding surgery dates, arrival times, medication instructions, and preoperative requirements
Maintain accurate surgical schedules and patient records within the electronic medical record (EMR)
Answer patient phone calls regarding surgery scheduling, preparation, and postoperative questions, directing clinical concerns to the physician or clinical staff when appropriate
Respond to patient portal messages related to surgical care
Coordinate with pharmacies regarding postoperative medications and prescription questions
Collaborate closely with physicians, technicians, front desk staff, and surgery center personnel to ensure efficient workflow
Maintain strict patient confidentiality and HIPAA compliance
Assist with other administrative duties and special projects as needed

Qualifications

Required

High school diploma or equivalent
Previous experience in medical scheduling, surgical scheduling, or a healthcare administrative role
Excellent organizational and time-management skills
Strong attention to detail
Outstanding communication and customer service skills
Ability to multitask in a fast-paced environment
Proficiency with computers and electronic medical records
Professional, positive, and team-oriented attitude

Preferred

Previous ophthalmology or optometry experience
Experience scheduling cataract surgery or other ophthalmic procedures
Familiarity with insurance verification and prior authorizations
Experience with Optivate (formerly EyeMD) EMR
Knowledge of Medicare and commercial insurance requirements related to ophthalmic surgery
