We are looking for a warm, organized, and dependable Practice Coordinator to support our growing practice in Detroit Lakes.
You will do more than answer phones and schedule appointments. You will help clients navigate their care, maintain an organized practice flow, follow up with prospective clients, support day-to-day operations, and help our providers deliver an exceptional experience.
This position will begin as a part-time role working three to four days per week, with the opportunity to grow into a full-time position as the practice continues expanding.

What You Will DoClient Communication and Scheduling
- Welcome clients and create a warm, professional experience at the front desk.
- Answer phone calls, emails, and client questions promptly and compassionately.
- Schedule, confirm, reschedule, and manage client appointments.
- Maintain an organized calendar that supports an efficient practice flow.
- Communicate scheduling changes and important updates to clients and providers.
- Follow up with prospective clients by phone and email.
- Help convert inquiries and leads into scheduled consultations or appointments.
- Support clients in understanding their next steps.
Front Desk and Practice Operations
- Check clients in and out for appointments.
- Maintain a calm, organized, and welcoming reception area.
- Monitor the daily schedule and communicate with providers throughout the day.
- Help manage referrals and client documentation.
- Support day-to-day practice operations with minimal supervision.
- Identify problems, communicate concerns, and help develop practical solutions.
- Assist with keeping practice systems and administrative processes organized.
Billing and Collections Support
- Collect payments and provide receipts when needed.
- Assist with billing, account questions, and collections follow-up.
- Communicate financial information clearly and professionally.
- Maintain accurate records related to client payments and accounts.
EMR and Data Management
- Enter and update client information accurately in the EMR or EHR system.
- Maintain organized and complete electronic client records.
- Handle client information in accordance with HIPAA requirements.
- Support accurate data entry, documentation, and administrative reporting.
- Use Google Workspace and other practice systems to organize information and communication.
Marketing and Social Media Support
- Assist with basic social media and marketing activities.
- Help create or update simple content using Canva.
- Support newsletters, practice announcements, promotions, and community outreach.
- Help maintain a professional and consistent online presence.
- Look for opportunities to improve awareness of the practice and its services.
You Are a Great Fit If You
- Have one to two years of administrative, front desk, customer service, or coordination experience in a healthcare setting.
- Communicate clearly, professionally, and compassionately in person, by phone, and through email.
- Are comfortable following up with prospective clients and helping them schedule an appointment.
- Can manage multiple responsibilities without becoming overwhelmed or losing attention to detail.
- Are highly organized and able to keep schedules, referrals, communications, and practice tasks moving forward.
- Can work independently and take ownership of responsibilities with minimal supervision.
- Are comfortable learning new software, systems, and practice processes.
- Have experience using Google Workspace.
- Are familiar with social media platforms and Canva.
- Understand the importance of confidentiality, professionalism, and HIPAA compliance.
- Have working familiarity with medical terminology, EMR systems, or healthcare administration—or are motivated to learn.
- Enjoy solving problems and helping systems operate more efficiently.
