Elder Care is looking for a professional, organized, and service-minded Receptionist to help create a welcoming experience for everyone who connects with our organization.
This is a multifaceted position for someone who enjoys interacting with people while also completing detailed administrative work. In addition to greeting visitors and managing incoming calls, the Receptionist processes payments, maintains records, coordinates appointments and registrations, prepares documents and informational materials, and provides administrative support across the organization.
The successful candidate will be comfortable moving between customer service, technology, financial transactions, communications, and general office responsibilities throughout the day. This position requires sound judgment, attention to detail, adaptability, and the ability to manage competing priorities without losing sight of the people being served.
What You’ll Do
- Welcome clients, caregivers, visitors, volunteers, vendors, and community partners.
- Answer incoming calls, respond to general questions, and connect callers with the appropriate staff or program.
- Help individuals access Elder Care programs, services, events, and community resources.
- Coordinate appointments, tours, screenings, referrals, and program registrations.
- Maintain a welcoming, professional, organized, and safe reception area.
- Support clear communication among clients, visitors, staff, and departments.
- Maintain records and enter accurate information into multiple software systems and databases.
- Prepare reports, spreadsheets, participant lists, attendance records, correspondence, and other documents.
- Process incoming and outgoing mail, faxes, deliveries, and general office communications.
- Order and maintain office and program supplies.
- Assist departments with administrative, clerical, and operational needs.
- Maintain confidential information with professionalism and discretion.
- Process payments, donations, program fees, and other financial transactions.
- Provide receipts and maintain accurate supporting records.
- Follow established procedures for handling and documenting financial transactions.
- Review information for accuracy and promptly address or report discrepancies..
- Assist with coordinating information and materials across departments.
