Studio 9, Inc. is seeking a highly organized, dependable, and detail-oriented Full-Charge Bookkeeper / Accounting & Executive Assistant to handle the Company's day-to-day accounting functions while also providing direct administrative support to the President.
This is a hands-on position for someone who is comfortable managing accounting records on a daily basis, preparing financial reports, following up with managers and vendors, and assisting ownership with business and administrative matters.
Primary Accounting Responsibilities
The successful candidate will be responsible for maintaining accurate and current financial records for the Company and its business operations.
Responsibilities include:
- Perform daily bookkeeping and accounting entries.
- Record and categorize income and expenses.
- Maintain the general ledger.
- Manage accounts payable and accounts receivable.
- Review invoices, bills, receipts, and supporting documentation.
- Perform bank and credit-card reconciliations.
- Monitor cash balances and upcoming financial obligations.
- Maintain vendor records and payment information.
- Track property and business expenses by location and appropriate accounting category.
- Review transactions for accuracy and proper classification.
- Prepare journal entries and necessary account adjustments.
- Maintain organized electronic accounting records and supporting documentation.
- Assist with payroll accounting and reconciliation.
- Track employee reimbursements and approved business expenses.
- Maintain fixed-asset and other accounting schedules as needed.
- Perform month-end closing procedures.
- Prepare monthly Profit & Loss Statements.
- Prepare Balance Sheets.
- Prepare Cash Flow Statements and other management reports.
- Prepare property-by-property and company-wide financial reports.
- Compare actual financial performance against budgets and prior periods.
- Identify unusual expenses, discrepancies, missing documentation, or potential accounting problems.
- Maintain schedules and documentation for the Company's outside CPA/tax preparer.
- Assist with year-end closing and tax preparation.
- Work directly with management and outside accounting professionals as necessary.
A major responsibility of this position is to ensure that the Company's books are accurate, current, and useful for management decision-making, rather than allowing accounting entries and reconciliations to accumulate until the end of the month or year.
Financial Reporting & Management Support
The position will prepare regular financial information for ownership and management, including:
- Monthly P&L by property/business.
- Consolidated Company P&L.
- Balance Sheet.
- Cash-flow reporting.
- Accounts payable aging.
- Accounts receivable aging.
- Bank and cash balances.
- Payroll and labor-cost reports.
- Expense analysis.
- Budget-versus-actual reports.
- Revenue and expense trends.
- Other financial reports requested by management.
The employee should be comfortable reviewing financial results with the President and explaining significant changes, unusual transactions, or areas requiring management attention.
Executive Assistant Responsibilities
In addition to accounting responsibilities, this position will provide direct executive and administrative support to the President.
Responsibilities may include:
- Manage and organize business correspondence.
- Draft and prepare emails, letters, reports, and business documents.
- Maintain organized electronic files and Company records.
- Follow up with managers regarding reports, expenses, invoices, and outstanding assignments.
- Coordinate meetings and appointments.
- Assist with travel arrangements and scheduling.
- Communicate with vendors, accountants, banks, insurance representatives, contractors, employees, and other business contacts.
- Track important deadlines and follow-up items.
- Assist with gathering information for financing, refinancing, insurance, legal, and business transactions.
- Maintain confidentiality regarding Company and financial information.
- Assist the President with special projects and other administrative responsibilities as assigned.
Hospitality & Multi-Property Accounting
Because Studio 9 operates multiple properties and business activities, the ideal candidate should be comfortable maintaining accounting records separately by property, entity, department, and expense category.
The position will work with hotel and operations managers to obtain invoices, receipts, payroll information, purchasing records, revenue information, and other documentation necessary to maintain accurate books.
The Full-Charge Bookkeeper / Accounting & Executive Assistant should be willing to follow up when information is missing rather than simply leaving transactions unreconciled.
Qualifications
We are looking for someone with:
- Strong bookkeeping or accounting experience.
- Experience maintaining a complete set of books.
- Strong understanding of general-ledger accounting.
- Experience preparing P&L Statements and Balance Sheets.
- Experience with bank and credit-card reconciliations.
- Accounts payable and accounts receivable experience.
- Strong Excel or spreadsheet skills.
- Experience with accounting software such as QuickBooks or similar systems.
- Excellent organizational and recordkeeping abilities.
- Strong written and verbal communication skills.
- Ability to work directly with business ownership.
- Ability to handle confidential financial and personnel information.
- Ability to work independently and follow through on assignments.
- Strong attention to detail and accuracy.
- Ability to manage multiple companies, properties, or cost centers is highly desirable.
Hotel, property-management, real-estate, or multi-entity accounting experience is a plus but not required.
Ideal Candidate
The ideal candidate is someone who is equally comfortable entering transactions and reconciling accounts in the morning, preparing a P&L or financial analysis in the afternoon, and assisting the President with an important business matter when needed.
We are looking for a hands-on individual who takes ownership of the accounting records, keeps financial information current, identifies problems before they become larger issues, and follows assignments through to completion.
This is not strictly a data-entry bookkeeping position and it is not strictly an executive assistant position. It is a combined accounting, financial reporting, and executive-support role for someone who enjoys being closely involved in the day-to-day operation of a growing business.
