Job Summary
We are seeking an energetic and highly organized, bilingual Front Desk Receptionist to be the welcoming face of our office. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a positive and professional experience. Your enthusiasm, excellent communication skills, and ability to manage multiple tasks efficiently will contribute to a smooth-running front office environment. This paid position offers an opportunity to develop your administrative and customer service skills while supporting daily office operations.

Responsibilities

Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems, answer inquiries, direct calls appropriately, and take detailed messages when necessary.
Maintain a clean, organized front desk area and ensure all office supplies are stocked and accessible.
Handle incoming and outgoing mail, packages, and deliveries with accuracy and timeliness.
Support office management tasks such as filing, data entry, proofreading documents, and maintaining electronic records using tools like Microsoft Office, Google Workspace, and QuickBooks.
Assist with calendar management, appointment scheduling, and coordinating meetings for staff members or clients.
Provide exceptional customer support by addressing inquiries professionally via phone or email.
Manage office communications efficiently through phone etiquette and clear verbal interactions.
Support clerical duties including typing reports, organizing files, and maintaining accurate records for smooth administrative operations.
Contribute to bookkeeping activities such as basic data entry related to billing or expenses when needed.
Assist with special projects or personal assistant tasks that require organizational skills and discretion.

Experience

At least 1yr of dental experience or administrative support roles is required. Experience with Curve hero is a plus.
Proven ability to operate multi-line phone systems with professionalism and courtesy.
Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), QuickBooks (or similar accounting software), and data entry skills.
Excellent organizational skills with attention to detail; capable of managing time effectively in a fast-paced environment.
Bilingual abilities are needed to serve diverse client needs effectively.
Demonstrated customer service expertise with a friendly demeanor and strong communication skills.
Experience with clerical tasks such as proofreading, filing, calendar management, and record keeping enhances your suitability for this role.
