Duties

Greet and assist visitors, clients, and staff with warmth and professionalism, ensuring a positive first impression.
Manage multi-line phone systems to answer inquiries promptly and direct calls accurately using proper phone etiquette.
Schedule appointments, coordinate calendars, and handle appointment reminders efficiently.
Perform data entry tasks using spreadsheets, Microsoft Office applications, and Google Workspace tools to maintain accurate records.
Handle incoming and outgoing correspondence, including emails, mailings, and filing documents systematically.
Support office management activities such as supply inventory, filing systems, and maintaining cleanliness of the reception area.
Utilize technical proficiency in computer literacy and productivity software to streamline administrative processes.

Qualifications

Proven clerical experience with strong organizational skills in an office environment.
Excellent customer service skills with the ability to communicate clearly via phone and in person.
Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools like spreadsheets.
Familiarity with multi-line phone systems and phone communication best practices.
Bilingual abilities are required to serve diverse client needs effectively.
Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks.
Strong typing skills along with proofreading capabilities to ensure accuracy in all written communications.
Knowledge of office management procedures including filing systems, calendar management, and document processing.
Ability to manage time efficiently while handling multiple tasks simultaneously in a fast-paced setting.
