Vishram Management Group (VMG) is a growing retail, grocery, food service, and convenience store management company operating multiple locations throughout Southeast Alabama. We are committed to operational excellence, exceptional customer service, and long-term growth.

We're looking for a dependable, highly organized, and proactive Administrative Assistant to join our team. This role is ideal for someone who enjoys keeping things organized, solving problems, supporting leadership, and helping a business run efficiently every day.

Position Summary

As our Administrative Assistant, you'll work directly with executive leadership while supporting the day-to-day operations of multiple business locations. You'll play a key role in payroll support, hiring, scheduling, bookkeeping, vendor coordination, compliance, and general office administration.

Responsibilities

Provide administrative support to executive leadership
Manage company emails, incoming mail, and daily office communications
Assist with payroll processing, employee records, and onboarding paperwork
Coordinate recruiting activities, including job postings, interview scheduling, and new hire documentation
Prepare employee schedules and maintain workforce records
Process invoices, vendor payments, and expense documentation
Assist with accounts payable and basic bookkeeping
Coordinate maintenance requests, vendor quotes, and repair scheduling
Order office supplies, uniforms, equipment, and operational materials
Maintain organized employee, vendor, and compliance files
Support insurance audits, licensing, and regulatory compliance
Troubleshoot basic office technology and coordinate with IT vendors when needed
Run occasional business errands, including bank deposits, post office visits, document deliveries, and local purchasing
Assist with special projects and operational improvements
Communicate professionally with employees, vendors, contractors, and business partners

Qualifications

Minimum 2 years of experience in an Administrative Assistant, Office Administrator, Office Coordinator, Executive Assistant, or Operations Support role
Excellent organizational and time-management skills
Strong verbal and written communication skills
Ability to prioritize multiple tasks and meet deadlines
Proficient with Microsoft Office and Google Workspace
Comfortable learning new software and business systems
Experience with payroll support, HR, accounts payable, or bookkeeping is preferred
Ability to maintain confidentiality and professionalism
Strong attention to detail and problem-solving skills
Valid driver's license and reliable transportation for occasional business errands
