Office Manager – Roofing Company

Job Summary
We are seeking a highly organized and dependable Office Manager to oversee the daily administrative operations of our roofing company. The ideal candidate will ensure the office runs efficiently by managing schedules, customer communications, invoicing, payroll support, and coordinating with field crews. This role requires excellent customer service, strong organizational skills, and the ability to multitask in a fast-paced construction environment.

Key Responsibilities

Manage daily office operations and administrative tasks.
Answer incoming phone calls, emails, and customer inquiries professionally.
Schedule roofing estimates, inspections, and installation appointments.
Coordinate with project managers, sales representatives, and field crews.
Prepare estimates, contracts, invoices, and work orders.
Process customer payments and maintain accurate financial records.
Assist with accounts payable and accounts receivable.
Support payroll processing by tracking employee hours and timesheets.
Maintain customer files, permits, warranties, and job documentation.
Order office supplies and manage vendor relationships.
Assist with hiring, onboarding, and maintaining employee records.
Ensure compliance with company policies and industry regulations.
Generate reports and assist ownership with administrative and operational tasks.

Qualifications

High school diploma or equivalent (Associate's degree preferred).
3+ years of office management or administrative experience, preferably in construction, roofing, or a related industry.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Experience with QuickBooks, CRM software, or construction management software is preferred.
Excellent communication and customer service skills.
Strong organizational and multitasking abilities.
Ability to work independently and maintain confidentiality.
Attention to detail and strong problem-solving skills.

Preferred Skills

Knowledge of roofing or construction terminology.
Experience scheduling crews and coordinating projects.
Familiarity with insurance claims and permit processing.
Ability to prioritize multiple deadlines in a fast-paced environment.

Work Environment

Full-time position.
Monday through Friday (with occasional overtime during peak season).
Office-based with regular interaction with customers, vendors, and field personnel.
