Job Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is essential in ensuring smooth administrative workflows, maintaining an efficient front desk, and supporting overall office productivity. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a welcoming atmosphere for staff, clients, and visitors alike. As Office Manager, you will oversee administrative functions, manage office supplies, coordinate schedules, and ensure that all clerical tasks are executed with precision and professionalism.

Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Oversee office management duties such as supply procurement, inventory control, and maintaining a clean and organized workspace
Coordinate calendar management and scheduling for meetings, appointments, and company events
Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
Handle clerical responsibilities including filing, proofreading documents, and maintaining meticulous records
Provide exceptional customer service by supporting clients and staff with inquiries via phone or email
Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
Support personal assistant duties as needed, including travel arrangements and calendar management for executives
Maintain office equipment and troubleshoot technical issues related to computer literacy and office technology systems

Qualifications

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks or other bookkeeping software is highly desirable
Excellent phone etiquette with experience managing multi-line phone systems
Bilingual abilities are a plus to support diverse client interactions
Strong data entry skills with high accuracy; typing speed preferred
Knowledge of clerical procedures such as filing, proofreading, and document management
Ability to multitask effectively while maintaining attention to detail in a fast-paced environment
Previous experience in customer service or front desk roles within medical or dental offices is advantageous
Demonstrated time management skills with the ability to prioritize tasks efficiently
