Job Description

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to our executive leadership. The ideal candidate will anticipate needs, manage complex schedules, and serve as a trusted point of contact for internal and external stakeholders. This role requires exceptional communication skills, attention to detail, and the ability to thrive in a fast-paced, dynamic environment.

Duties and Responsibilities:

Administrative Support

Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare, edit, and proofread correspondence, presentations, and reports.
Handle incoming communications, prioritize requests, and respond on behalf of the executive when appropriate.

Meeting & Event Coordination

Plan and coordinate internal and external meetings, including agendas, materials, and follow-up actions.
Arrange logistics for conferences, board meetings, and special events.
Take meeting notes, track deliverables, and ensure timely follow-up.

Operational Support

Assist with project management tasks, tracking deadlines, and ensuring priorities are met.
Conduct research, compile data, and prepare briefing materials for decision-making.
Manage confidential and sensitive information with the highest level of discretion.

Relationship Management

Act as a liaison between the executive and internal teams, clients, partners, and other stakeholders.
Build and maintain strong professional relationships to support business objectives.

Qualifications

Required:

Proven experience (5+ years) as an Executive Assistant, Administrative Manager, or similar role supporting senior leadership.
Excellent written and verbal communication skills.
Strong organizational and time-management skills with the ability to multitask effectively.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint, Planner).
High level of discretion, integrity, and professionalism.
