Full Job Description

Position Summary

We are seeking a dependable, professional, and patient-focused Medical Receptionist / Office Assistant to join our medical practice.

The ideal candidate will have excellent communication and organizational skills, demonstrate a strong work ethic, and be comfortable working in a busy, fast-paced medical office environment. This position serves as one of the first points of contact for our patients and plays an important role in creating a welcoming, efficient, and professional experience.

Previous medical office experience is preferred; however, we are willing to train the right candidate who demonstrates professionalism, dependability, a willingness to learn, and a commitment to excellent patient service.

Responsibilities

Primary responsibilities include, but are not limited to:

Greet and check in patients in a professional, courteous, and welcoming manner.
Schedule, confirm, reschedule, and coordinate patient appointments using the practice's electronic medical record (EMR/EHR) system.
Answer incoming telephone calls promptly and professionally.
Respond appropriately to patient questions and route clinical inquiries to the appropriate staff member or provider.
Complete patient registration and verify demographic information.
Verify insurance information and assist with obtaining required information prior to appointments.
Collect copayments, balances, and other payments due at the time of service.
Accurately document and process patient payments.
Maintain accurate and up-to-date patient demographic and administrative information.
Scan, upload, and appropriately organize patient documentation within the EHR.
Coordinate and schedule patient referrals as directed.
Assist with obtaining medical records, imaging reports, laboratory results, and other documentation necessary for continuity of patient care.
Monitor and respond to office communications and patient messages within assigned responsibilities.
Maintain confidentiality of patient information and comply with HIPAA requirements.
Maintain a clean, organized, and professional front desk and reception area.
Assist providers, clinical staff, and management with administrative responsibilities as needed.
Complete additional duties and assignments as directed by management.

Qualifications

High school diploma or equivalent required.
Previous medical office, medical receptionist, or healthcare administrative experience preferred but not required.
Excellent verbal and written communication skills.
Strong customer service and interpersonal skills.
Professional and courteous demeanor when interacting with patients, providers, coworkers, and outside organizations.
Ability to appropriately handle patient questions and concerns.
Comfortable using computers, telephone systems, printers, scanners, and standard office equipment.
Experience with an EMR/EHR system is preferred.
Strong attention to detail and organizational skills.
Ability to maintain patient confidentiality.
Ability to multitask and prioritize responsibilities effectively.
Ability to work independently while also functioning effectively as part of a team.
Ability to remain organized and professional in a fast-paced, high-volume medical office environment.
Willingness to accept direction, learn new responsibilities, and assist with additional tasks as needed.

Attendance & Dependability Expectations

Reliable attendance and punctuality are essential functions of this position.

The successful candidate must be able to consistently report to work as scheduled, arrive on time, and remain available for the entirety of their assigned shift unless otherwise authorized by management.

Employees are expected to:

Maintain consistent and dependable attendance.
Arrive on time and be prepared to begin working at the scheduled start time.
Follow established procedures for requesting time off or reporting an absence.
Provide appropriate and timely notification when an unexpected absence or emergency occurs.
Avoid patterns of excessive absenteeism, tardiness, or leaving work early.
Demonstrate reliability and accountability to patients, providers, coworkers, and the practice.

Because adequate front-office staffing is essential to patient care and daily operations, excessive absenteeism or repeated tardiness may result in corrective action in accordance with company policy.

90-Day Introductory Period

All newly hired employees are subject to a 90-day introductory/probationary period. During this period, management will evaluate overall job performance, including attendance, punctuality, professionalism, communication, productivity, ability to follow established policies and procedures, and successful completion of assigned responsibilities.

Successful completion of the introductory period does not alter the at-will nature of employment where applicable.
