Full Job Description

We are seeking a detail-oriented, organized, and proactive Legal Assistant with prior administrative assistant experience to join our team. Under the supervision of assigned attorneys and the Administrator, this role provides administrative and secretarial support to attorneys, paralegals, and staff.

The ideal candidate will have a strong administrative background, excellent organizational skills, and the ability to manage multiple priorities while maintaining accuracy and professionalism. Prior legal experience is a plus but not required; we are looking for someone with a strong administrative foundation who is eager to learn and contribute to a collaborative team environment.

The right candidate will be committed to providing superior service, producing high-quality work, and fostering a professional and supportive workplace.

Key Responsibilities

Provide administrative and secretarial support to attorneys, paralegals, and staff
Draft, proofread, and format correspondence and legal documents
Manage calendars, schedules, deadlines, and administrative tasks
Handle electronic and paper filing, scanning, and record-keeping
Prepare and process documents with accuracy and attention to detail
Communicate professionally with clients, vendors, attorneys, and colleagues
Manage phones, conference calls, and voicemail systems
Assist with general office administrative tasks as needed
Maintain confidentiality and professionalism at all times

Skills & Qualifications

Minimum of 1 year of prior administrative assistant or comparable office experience required
Strong organizational skills with exceptional attention to detail
Ability to prioritize and manage multiple tasks effectively
Excellent written and verbal communication skills
Typing speed of 70+ WPM preferred
Proficiency in Microsoft Office (Word, Outlook, Excel)
Ability to learn new software systems and processes
Self-motivated with the ability to work independently and as part of a team
Familiarity with legal terminology and filing practices preferred, but not required

A Few Musts

Full-time position, Monday–Friday, 8-hour shifts; 8:00 a.m.–5:00 p.m.
Work in-person at our Dubuque, IA office
Ability to occasionally lift up to 25 lbs.

Pay: $20.00 - $25.00 per hour

Experience:

Administrative: 1 year (Preferred)
