Overview

We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial management, ensuring the smooth operation of our office environment while maintaining accurate financial records. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to support daily office functions and bookkeeping responsibilities.

Duties

Oversee daily office operations, including managing multi-line phone systems, front desk duties, and general administrative tasks
Maintain organized filing systems, manage calendars, and coordinate meetings to ensure efficient workflow
Handle bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations
Provide exceptional customer service by addressing client inquiries via phone and email with professionalism and courtesy
Support data entry efforts, proofread documents, and prepare reports using Microsoft Office Suite and productivity software
Manage office supplies inventory, order necessary materials, and ensure the office environment remains welcoming and functional
Assist with personal assistant duties such as calendar management, appointment scheduling, and travel arrangements

Qualifications

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in QuickBooks for bookkeeping tasks and Microsoft Office applications including Word, Excel (Spreadsheets)
Excellent computer literacy and technical proficiency with data entry, word processing, and document proofreading
A/R and A/P
Ability to multitask efficiently while maintaining attention to detail
Previous experience supporting bookkeeping activities such as invoicing, expense tracking, or personal assistant duties is highly valued
