Job Summary

Help Us Keep Clients Connected to Care

Renewed Therapy PLLC is seeking an organized, dependable, and detail-oriented Medical Records & Insurance Authorization Specialist to support our growing behavioral health practice.

This position plays an essential role in helping clients begin services, maintain active insurance coverage, receive necessary authorizations, and avoid interruptions in treatment. The ideal candidate is proactive, comfortable communicating with clients and clinicians, and capable of managing multiple deadlines within an electronic health-record system.

Primary ResponsibilitiesInsurance Eligibility and Coverage

Verify each client’s primary and secondary insurance eligibility.
Confirm coverage before the client begins services and at required intervals.
Monitor insurance expiration and termination dates.
Contact clients when insurance information is missing, approaching expiration, or no longer active.
Obtain updated insurance cards and coverage information.
Notify clinicians and appropriate leadership when insurance changes may affect services.
Clearly inform clients when services cannot continue because coverage or required information is inactive.

OPT and EAP Authorizations

Track outpatient therapy, or OPT, authorization dates and remaining authorized visits.
Identify authorizations that are approaching expiration or running out of approved units.
Prepare and submit authorization requests to insurance companies.
Follow up with insurance companies regarding pending authorization requests.
Track Employee Assistance Program, or EAP, authorizations and approved sessions.
Notify clinicians before a client reaches the end of an OPT or EAP authorization.
Communicate authorization approvals, denials, deadlines, and additional information requests.
Maintain an accurate authorization tracking system to help prevent service interruptions.

Intake and Client Coordination

Enter new clients and intake information into the Checkpoint electronic health-record system.
Confirm that newly admitted clients have scheduled their first session.
Follow up with clients who have not completed scheduling.
Monitor pending intakes and identify intakes that are approaching expiration.
Contact clients and clinicians regarding incomplete or expiring intakes.
Update expired intakes and clients who have received no services to the appropriate inactive status in Checkpoint.
Notify the client and assigned clinician when an intake has expired or the client cannot receive services until requirements are completed.

Medical Records and Documentation

Upload and organize required documentation in Checkpoint, including:
Intake paperwork
Insurance cards
Photo identification
Consent forms
Authorization documents
Referral information
Additional required medical or administrative records
Review client records for missing, incomplete, outdated, or unsigned documents.
Follow up with clients and clinicians to obtain missing documentation.
Maintain accurate, complete, organized, and confidential electronic records.
Ensure documentation is filed in the correct section of the client’s record.
Protect all client information in accordance with HIPAA and Renewed Therapy policies.

Team Communication

Provide clinicians with timely reminders regarding expiring authorizations, inactive insurance, missing documents, and expired intakes.
Maintain professional and compassionate communication with clients.
Document client outreach, insurance calls, authorization updates, and follow-up attempts.
Escalate urgent insurance, authorization, or documentation concerns to leadership.
Participate in administrative meetings and workflow reviews as required.

Required Qualifications

High school diploma or equivalent.
At least one year of experience in medical records, insurance verification, healthcare administration, behavioral health administration, authorizations, or a related position.
Strong computer, data-entry, and organizational skills.
Ability to manage deadlines, follow-up tasks, and multiple client records.
Excellent written and verbal communication skills.
Ability to communicate professionally with clients, clinicians, insurance representatives, and outside agencies.
Understanding of confidentiality and HIPAA requirements.
Strong attention to detail and ability to recognize missing or inconsistent information.

Preferred Qualifications

Experience working in an outpatient behavioral health or mental health practice.
Experience submitting OPT, Medicaid, commercial insurance, or EAP authorizations.
Experience verifying primary and secondary insurance coverage.
Familiarity with Checkpoint or another electronic health-record system.
Knowledge of Medicaid, Medicare, commercial insurance, and managed-care processes.
Experience managing intake deadlines and inactive-client procedures.
Experience communicating with insurance companies regarding authorization approvals, denials, and additional-documentation requests.
