Full Job Description

Job Purpose:
The Front Office Administrator provides essential administrative, organizational, and customer service support to O’Mara’s office staff and customers. This full-time, pet-friendly, fast-paced role requires strong communication skills, attention to detail, and a commitment to excellent service, along with the ability to respond efficiently and solve problems effectively to support daily office operations.

Primary Job Duties

Answer and manage telephone system; accurately take messages and professionally screen/direct calls
Accurately enter/scan lawn maintenance and weed & feed data from daily production sheets; collaborate closely with the Lawn Care Administrator
Compose, prepare, and proofread correspondence, office memos, and reports while maintaining confidentiality
Create and maintain standardized response letters for various types of incoming correspondence
Maintain organized and accessible filing systems, including updating records, purging outdated files, and developing new filing processes as needed
Provide administrative support for special projects, including research, data compilation, summary reporting, and monthly billing
Maintain office calendars and schedule meetings and appointments for sales staff
Operate standard office equipment (multi-line phone, computer, printer, copier, fax machine, calculator)
Prepare bank deposits and process credit card payments accurately
Perform customer account reconciliations
Prepare reports and spreadsheets as directed
Coordinate and oversee completion of special projects
Respond to general company communications and correspondence
Assist Human Resources with recruiting, onboarding, and employee documentation
Handle and protect confidential information with the highest level of discretion
Attend training to stay current on systems and best practices
Perform additional duties, projects, and tasks assigned by management

Minimum Requirements / Qualifications

High school diploma or equivalent (required)
Minimum of 1 year administrative or receptionist experience
Strong math, data entry, and computer skills
Excellent interpersonal and communication skills
Strong filing and organizational ability
High attention to detail and accuracy

Proficiency in:

Microsoft Office (Word, Excel, Outlook), QuickBooks, RealGreen, iCloud
Bilingual in Spanish (preferred but not required)
Team environment experience preferred
Must comply with all company policies, procedures, and code of conduct

Work Environment

Office setting with frequent interaction with customers, staff, and vendors
Fast-paced environment requiring multitasking, attention to details and deadlines
