Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring that administrative functions run smoothly and efficiently. Your energetic approach and attention to detail will help foster a productive work environment, support our team, and enhance client interactions. This position offers an exciting opportunity for someone passionate about office management, customer service, and organizational excellence.

Duties

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize team productivity
Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office applications
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records
Provide exceptional customer support by addressing inquiries promptly via phone or email and assisting clients with their needs
Utilize QuickBooks for basic bookkeeping tasks, invoicing, and expense tracking to support financial accuracy
Support office management activities by ordering supplies, managing office equipment, and ensuring a clean, safe workspace

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency
Experience with QuickBooks accounting software and familiarity with data entry procedures
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Strong phone communication skills including phone etiquette and managing multi-line phone systems
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Proven clerical experience with a focus on proofreading, word processing, filing, and calendar management
Exceptional customer service skills combined with a friendly demeanor and professional appearance
Ability to prioritize tasks effectively using time management techniques; previous personal assistant or administrative experience is a plus
