Job Overview

We are a team-oriented, private dental office located near the San Francisco Ferry Building. We are seeking a dynamic and organized Dental Office Front Desk Coordinator/Scheduler to join our vibrant dental practice. This pivotal role combines exceptional patient service with efficient office management, ensuring smooth daily operations. As the first point of contact, you will create a welcoming environment for patients while managing appointment scheduling, digital dental records, and insurance processes. Your energetic approach and attention to detail will help foster a positive patient experience and support the clinical team’s success. This paid position offers an exciting opportunity to grow within a supportive healthcare setting dedicated to excellence.

Duties

Greet patients warmly and provide outstanding customer service, ensuring a positive first impression.
Schedule, confirm, and reschedule patient appointments using our online patient management platform (Carestack)
Manage patient check-in and check-out procedures efficiently while maintaining accurate medical records and documentation review.
Verify insurance coverage, process claims, and handle medical billing and collections in compliance with HIPAA regulations.
Maintain confidentiality of all patient information in accordance with clinical confidentiality policies and health information management standards.
Answer multi-line phone systems with professional phone etiquette, addressing inquiries promptly and directing calls appropriately.
Support clinical staff by coordinating care plans, reviewing documentation, and managing electronic health records (EHR) systems.
Perform clerical tasks such as filing, data entry (including 10 key typing), and maintaining organized medical records in compliance with HIPAA standards.
Assist with billing processes involving CPT coding, ICD-9/10 coding, Medicare claims, and other health insurance procedures.
Ensure smooth clinic operations by managing office supplies, appointment reminders, and patient follow-up communications.

Skills

Excellent customer service skills combined with professional phone etiquette and effective communication/writing abilities.
Proficiency in Microsoft Office Suite (Word, Excel)
Knowledge of health insurance procedures including claims processing, billing, CDT codes and dental billing practices.
Ability to review dental/medical documentation accurately while maintaining strict adherence to HIPAA and clinical confidentiality policies.
Bilingual capabilities are highly desirable to serve diverse patient populations effectively.
Clinic experience with dental or medical office management enhances your ability to excel in this role.
Strong organizational skills with attention to detail for managing dental records and appointment schedules efficiently.
