Full Job Description

Our client, a real estate management company, is looking for an experienced Controller/Bookkeeper to join their team. This is a permanent, direct hire role with a family owned company in business over 60 years.

Schedule: ON-SITE

Monday thru Thursday 8:30 – 5 (with one hour lunch)

Friday 8:30 -4 (with one hour of lunch)

Position Summary

The Controller/Bookkeeper is responsible for managing the day-to-day accounting and financial operations of a real estate management company. This position oversees cash management, accounts payable, bank reconciliations, tax filings, financial reporting, and year-end closing activities while ensuring the accuracy and integrity of financial records. The role works closely with property owners, management, financial institutions, insurance providers, accountants, contractors, and other business partners.

Key Responsibilities

Cash Management & Banking

Monitor company bank accounts daily and review all account activity.
Manage cash flow and ensure adequate funds are available for operational and mortgage obligations.
Approve checks through Positive Pay systems and resolve banking exceptions as needed.
Coordinate with financial institutions regarding account maintenance and banking matters.

Accounts Payable & Property Accounting

Gather, review, and organize invoices by property.
Process vendor payments accurately and timely.
Prepare and manage split payments and payment allocations when required.
Maintain organized accounting records and supporting documentation.

Mortgage & Recurring Payments

Prepare and process monthly mortgage payments.
Verify sufficient funds are available before payment processing.
Monitor recurring obligations to ensure timely payment.

Financial Reporting & Month-End Close

Complete and review bank reconciliations for all accounts.
Investigate discrepancies and prepare necessary general ledger adjustments.
Record month-end journal entries and complete monthly closing procedures.
Generate month-end financial reports for ownership and management.
Maintain accurate general ledger accounts and supporting schedules.

Tax Compliance

Prepare and remit quarterly real estate tax and sewer payments.
Prepare and file quarterly use tax returns.
Submit tax payments and filings on a timely basis.
Prepare and file annual reports and other required state filings.

Year-End Accounting

Prepare year-end adjusting entries and account reconciliations.
Complete year-end closing activities.
Coordinate with external accountants and auditors as needed.

Insurance & Administrative Support

Coordinate with insurance providers to verify employee Motor Vehicle Record (MVR) eligibility for driving privileges.
Assist with insurance renewals, documentation requests, and related administrative tasks.

Vendor & Stakeholder Coordination

Serve as a primary accounting contact for property owners, associates, banks, accountants, insurance brokers, and contractors.
Respond to inquiries and provide financial information as requested.
Support management with special projects and additional accounting duties as assigned.

Qualifications

Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
3+ years of bookkeeping, accounting, or controller experience, preferably in real estate, property management, or related industries.
Strong knowledge of general accounting principles and financial reporting.
Experience with bank reconciliations, accounts payable, general ledger maintenance, and month-end close processes.
Proficiency in accounting software and Microsoft Excel.
Excellent organizational skills and attention to detail.
Ability to manage multiple properties, deadlines, and priorities independently.
Strong communication and interpersonal skills.
