Full Job Description

Overview
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a positive and professional experience. Your energy, organizational skills, and attention to detail will help keep our office running smoothly and efficiently. This paid position offers an exciting opportunity to develop your administrative and customer service skills in a fast-paced environment.

Duties

Greet visitors warmly, determine their needs, and direct them appropriately
Manage multi-line phone systems with professionalism, providing excellent customer support and support to staff
Handle incoming and outgoing correspondence, including emails, mail, and packages
Maintain appointment calendars, schedule meetings, and coordinate conference room bookings
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks
Assist with office management duties such as supply inventory, basic bookkeeping using QuickBooks, and clerical support
Ensure phone etiquette is maintained at all times to foster a welcoming environment

Experience

Previous office experience or administrative support role preferred but not required
Strong organizational skills with the ability to multitask efficiently in a busy setting
Excellent communication skills in both English and bilingual (preferred) to serve diverse clients and staff
Proficiency in computer literacy including typing speed, data entry, proofreading, and familiarity with Microsoft Office and Google Workspace tools
Experience with multi-line phone systems, calendar management, and office management software such as QuickBooks or similar bookkeeping programs
Customer service background with a focus on professional phone etiquette and client support
Clerical experience involving filing, data entry, and document management in a fast-paced environment
