Full Job Description

We are seeking a highly organized, detail-oriented, and motivated Office Manager to lead the administrative and accounting operations of our Toyota dealership. This position plays a critical role in ensuring the dealership operates efficiently while supporting our leadership team, employees, and customers. The ideal candidate is a strong leader with automotive dealership experience, exceptional organizational skills, and a commitment to accuracy and continuous improvement.

Key Responsibilities

Manage the daily operations of the dealership office and administrative staff.
Supervise and develop accounting and office personnel, including AP, AR, title clerks, payroll, and reception (as applicable).
Ensure timely and accurate completion of all accounting functions, including:
Accounts payable and receivable
Bank reconciliations
Deal posting
Factory receivables
Payroll
Financial statement preparation
Maintain compliance with Toyota, state, federal, and company policies.
Oversee vehicle title and registration processes to ensure accuracy and compliance.
Work closely with the General Manager and Controller to maintain strong internal controls and improve office efficiency.
Assist with month-end closing and financial reporting.
Coordinate audits and provide requested documentation.
Manage vendor relationships and office purchasing.
Develop and improve office procedures and employee training.
Foster a positive, professional, and team-oriented culture.

Qualifications

Previous automotive dealership office management or controller experience REQUIRED
Strong understanding of dealership accounting practices.
Experience with Dealertrack DMS strongly preferred.
Knowledge of title, registration, payroll, and accounting procedures.
Excellent leadership and team development skills.
High level of integrity, professionalism, and confidentiality.
Strong analytical and problem-solving abilities.
Exceptional attention to detail and organizational skills.
Proficiency in Microsoft Office, especially Excel.
