PRIMARY JOB RESPONSIBILITIES: BOOK KEEPING, ORGANIZATION, RECEIVING SALES CALLS, PROVIDING QUOTES VIA EMAIL, ASSISTING CLIENTS WITH RESERVATIONS.

Overview

Join our dynamic team as a Bookkeeper/Administrative Assistant, where your energy and organizational skills will keep our operations running smoothly! This vital role combines precise financial management with efficient administrative support, ensuring our office functions seamlessly. You'll be the backbone of daily bookkeeping tasks and front-line customer service, contributing to a positive and productive work environment. Duties

Manage all aspects of bookkeeping using QuickBooks, including invoicing, expense tracking, bank reconciliations, and financial reporting
Maintain accurate records through meticulous data entry and filing of financial documents
Handle multi-line phone systems with professionalism, providing excellent customer service and client communication
Support office management activities such as calendar scheduling, appointment setting, and coordinating meetings
Assist with front desk responsibilities including greeting visitors, answering inquiries, and managing phone etiquette
Prepare correspondence, Word processing documents, spreadsheets, and proofread materials for accuracy and clarity
Oversee general clerical tasks like filing, photocopying, and organizing office supplies to ensure a tidy workspace

Skills

Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
Strong computer literacy with experience in data entry, spreadsheets, and productivity software such as Google Workspace
Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Bilingual abilities are a plus to enhance client communication and team collaboration
Previous office experience or administrative roles demonstrating familiarity with clerical duties and front desk operations
Exceptional phone communication skills with knowledge of multi-line phone systems and phone etiquette
Attention to detail for proofreading documents and maintaining accurate records while supporting customer support initiatives
