About Us

We are a stable yet growing construction company based in the St. Louis metro area, delivering quality projects. We're looking for a detail-oriented Accounting Specialist to join our team and help keep our financial and compliance operations running smoothly.

Position Summary

The Accounting Specialist will be responsible for day-to-day accounts payable processing, payroll administration, and tracking of compliance documentation critical to construction operations. This role is a great fit for someone with construction industry accounting experience who thrives in a fast-paced, detail-driven environment.

Key Responsibilities

Payroll

Process weekly payroll for field and office employees
Ensure compliance with certified payroll reporting requirements (WH-347 or state equivalents) for public works projects

Company Credit Cards

Enter and code company credit card transactions to the appropriate job, cost code, and GL account
Collect and match receipts/supporting documentation for all charges
Reconcile monthly credit card statements to entered transactions and resolve discrepancies
Follow up with cardholders on missing documentation or unclear charges

Accounts Payable

Process vendor invoices
Verify coding accuracy across jobs, phases, and cost types
Prepare and process check runs / ACH payments
Maintain vendor files, W-9s, and 1099 reporting
Reconcile vendor statements and resolve discrepancies

Compliance Document Tracking

Collect, track, and maintain subcontractor compliance documents including certificates of insurance (COIs) and W-9’s
Monitor expiration dates and follow up on renewals to avoid coverage gaps
Maintain compliance logs and support audit or bonding requests

General

Support other team members as needed
Maintain organized, audit-ready documentation

Qualifications

3+ years of accounting/bookkeeping experience, construction industry strongly preferred
Experience with construction accounting software (Sage 300 CRE, QuickBooks Desktop/Online, Procore, Foundation, or similar)
Familiarity with certified payroll and prevailing wage requirements a plus
Strong Excel skills
High attention to detail and organizational skills
Ability to manage multiple deadlines and communicate with subcontractors, vendors, and project teams
