Project Admin:

About the Company

Hearth Construction Management is a well-established commercial construction firm in the Midwest, specializing in rehabilitation, remodeling, and maintenance projects across multifamily, self-storage, and office properties.

We take a hands-on, team-driven approach, working closely across office and field operations to deliver high-quality results through strong coordination and communication.

About the Role

This role is a mix of project coordination, field support, and operational organization. You’ll help keep projects on track by managing schedules, tracking costs, staying on top of documentation, and supporting communication between contractors, field teams, and leadership.

It’s a great opportunity for someone who enjoys variety in their day and wants to stay close to both the numbers and the work happening on-site.

Primary Responsibilities

Project Coordination (Office & Field)

Schedule contractors and coordinate project timelines
Track bids, project progress, and key milestones
Conduct jobsite visits and document project status

Contractor & Vendor Management

Request, collect, and organize contractor bids
Maintain vendor records, insurance, and compliance documentation
Coordinate jobsite access and communication across teams

Financial & QuickBooks Support

Enter invoices and track job costs in QuickBooks
Generate basic financial and job cost reports
Reconcile expenses and assist with payment processing

Documentation & Organization

Maintain organized digital project files and folders in SharePoint
Track material orders, schedules, and punch lists
Ensure accurate and up-to-date project documentation

Field Operations Support

Conduct unit walks and verify completed work
Identify deficiencies and document findings
Communicate issues and follow up on corrective actions

Projects stay organized and on schedule with minimal delays
Invoices and job costs are entered accurately and within 2 business days
Project files and vendor records are complete and easy to navigate
Communication with team members and vendors is timely and clear
Job site updates and deficiencies are documented and followed through

How You’ll Work With Others

Partner with project managers and leadership to keep projects moving
Communicate regularly with contractors and vendors
Support field teams with updates, documentation, and coordination
Work alongside accounting support for cost tracking and invoicing

Requirements

Technical Skills

Experience in QuickBooks
Working knowledge of Excel and project tracking tools
Basic understanding of construction, maintenance, or project workflows

Experience

Experience in construction coordination, project administration, or similar role preferred
Background in property management, maintenance, or construction is a plus

Core Competencies

Strong organizational and time management skills
Clear written and verbal communication
Ability to manage multiple projects and priorities simultaneously
Detail-oriented and dependable

Additional Requirements

Valid driver’s license and ability to travel to job sites
Ability to perform on-site walks and observe project conditions
Comfortable working in a hybrid environment (office + field)

Pay: $50,000.00 - $60,000.00 per year
