Full Job Description

Job Overview

The National Border Patrol Museum and Memorial Library Foundation is seeking a part-time Business Manager/Bookkeeper to oversee the Museum’s day-to-day financial and bookkeeping operations. This position works closely with the Museum Director and staff to maintain accurate financial records, process transactions, support payroll and reporting, and ensure financial documentation is organized and up to date.

The ideal candidate is detail-oriented, dependable, organized, and comfortable working independently in a small museum environment. The position requires working proficiency with QuickBooks, Shopify, Microsoft 365, and customer relationship management software.

Key Responsibilities

Manage accounts payable and accounts receivable
Maintain accurate financial records and perform bank, credit card, and cash reconciliations
Prepare financial reports for management, Board meetings, and auditors
Process payroll, employee reimbursements, and related reporting
Complete monthly Texas sales tax filings
Track and reconcile donations, memberships, gift shop sales, and other museum revenue
Maintain petty cash and donation-box records
Monitor expenses and ensure transactions are properly documented and coded
Assist with annual budgeting and audit preparation
Maintain financial records related to exhibitions, events, and fundraising activities
Coordinate with external accountants, auditors, and vendors as needed
Assist with inventory and gift shop financial tracking
Access and reconcile payment processor reports, including online donations and other electronic payments
Maintain financial documentation and records in accordance with Museum procedures

Schedule

This is a part-time position averaging 20 hours per week. Work will be scheduled during regular Museum hours, Tuesday through Friday. Specific workdays and hours may be arranged by mutual agreement based on the needs of the Museum and the availability of the selected candidate. Full-day availability is preferred, although partial-day schedules may be considered for the right candidate.

Qualifications

Must pass a background check
Working proficiency with QuickBooks Desktop and/or Online
Working proficiency with Microsoft 365, including Excel, Teams, Outlook, and SharePoint
Experience with Shopify and/or CRM software preferred
Strong attention to detail and organizational skills
Ability to maintain confidentiality and handle financial information appropriately
Ability to work independently and manage recurring deadlines

Pay: From $22.50 per hour

Work Location: In person
