We are a growing concierge medical practice specializing in hormone replacement therapy, weight management, wellness, and aesthetic medicine. Our mission is to deliver an exceptional patient experience through personalized care, operational excellence, and a culture of professionalism, accountability, and compassion.

Position Summary

We are seeking an experienced, emotionally intelligent leader who is committed to operational excellence and exceptional patient care. The Concierge Office Manager will oversee all aspects of clinic operations, lead and develop a high-performing team, optimize workflows, and collaborate with providers to drive practice growth while maintaining the personalized, concierge-level experience our patients expect.

Key Responsibilities

Lead, coach, mentor, and develop administrative and clinical support staff.
Oversee daily clinic operations, provider schedules, appointment management, patient flow, and workflow efficiency.
Lead daily team huddles and regular staff meetings to promote communication, accountability, and operational excellence.
Develop, implement, and maintain clinic policies, procedures, and standard operating procedures (SOPs).
Recruit, interview, hire, onboard, and train employees, including background checks, reference verification, credential verification, and performance management.
Address employee performance concerns through coaching, corrective action, and performance improvement plans in collaboration with the Practice Administrator, Medical Director, and providers.
Ensure providers have the clinical support, staffing, resources, and workflow efficiencies necessary to deliver exceptional patient care.
Monitor clinic efficiency and implement continuous process improvements to optimize workflows, productivity, and patient satisfaction.
Coordinate communication between providers and clinical and administrative support staff to ensure seamless clinic operations.
Oversee patient intake, medical records management, documentation quality, referrals, scheduling, and provider support.
Ensure compliance with all applicable federal, state, and local laws, regulations, accreditation standards, and clinic policies and procedures.
Manage QuickBooks financial operations, including accounts payable, accounts receivable, payroll processing, payroll tax reporting, bank and quarterly reconciliations, financial reporting, profit and loss statements, and coordination with the CPA for annual tax preparation.
Prepare payroll tax forms and maintain W-9 records, including Forms 941, W-2, W-3, and 1099.
Assist with budgeting, expense management, financial reporting, and operational metrics.
Oversee purchasing, vendor management, inventory control, and quality assurance of medications, medical supplies, and equipment.
Research and negotiate competitive pricing with vendors while maintaining quality standards and cost efficiency.
Verify the integrity and safety of all medications and supplies before patient use, including cold chain management and temperature monitoring of temperature-sensitive medications.
Conduct inventory audits and investigate vendor discrepancies, damaged shipments, recalls, and product quality concerns.
Monitor online reviews and patient feedback, respond professionally to compliments and concerns, and implement service improvements to enhance the patient experience.
Support strategic planning, membership growth, patient retention, marketing initiatives, educational seminars, community outreach, and promotional events.

Qualifications

Bachelor’s degree or higher in Healthcare Administration, Business Administration, Healthcare Management, Public Health, or a related field preferred. Equivalent healthcare management experience will be considered.
Minimum of 3–5 years of progressive healthcare management or medical practice leadership experience.
Demonstrated success leading and developing high-performing teams.
Experience with QuickBooks, bookkeeping, payroll processing, accounts payable, accounts receivable, reconciliations, financial reporting, and profit and loss statements preferred.
Experience preparing Forms 941, W-2, W-3, 1099, maintaining W-9 records, and coordinating with a CPA preferred.
Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and word processing.
Experience with electronic medical record (EMR) and practice management systems required; OptiMantra EMR experience preferred.
Certified Medical Assistant (CMA) certification or prior clinical experience in a physician practice preferred.
Experience in concierge medicine, wellness clinics, medical spas, hormone replacement therapy, or private physician practices preferred.
Strong leadership, organizational, communication, financial management, conflict resolution, and problem-solving skills.
Ability to manage multiple priorities in a fast-paced healthcare environment.
Bilingual (English/Spanish) preferred.

Pay: $55,000.00 per year
