Full Job Description

Journey of Hope Church is a welcoming, growing United Methodist congregation committed to helping people know Christ, grow in faith, and serve others. We are seeking a highly organized, compassionate, and detail-oriented Administrative Assistant to help support the daily ministry and operations of our Elgin campus.

This position is ideal for someone who enjoys serving others, thrives in a collaborative environment, and has excellent administrative and communication skills.

Position Summary

The Administrative Assistant serves as the primary administrative support for the Elgin campus, helping coordinate worship services, church communications, member records, congregational care, facility scheduling, and general office operations. This person plays an important role in helping the ministry of Journey of Hope run smoothly while providing a welcoming presence for members, guests, and community partners.

This position reports directly to the Pastor and works collaboratively with church staff, volunteers, ministry leaders, and the Staff-Parish Relations Committee.

Responsibilities

Worship & Ministry Support

Prepare and produce weekly worship bulletins for in-person and online services, as well as weddings and funerals
Coordinate worship schedules and prepare materials for worship leaders
Arrange altar flower orders and delivery
Coordinate administrative details for funerals, including communication with volunteers and ministry teams
Assist ministry teams with administrative support as needed

Church Administration

Maintain church records using Planning Center, including:
Attendance
Membership
Baptisms
Confirmations
Weddings
Death records
Coordinate with the Financial Secretary regarding member giving records and reports
Maintain the official church calendar
Schedule rooms and coordinate building use requests
Prepare invoices for outside building users
Process check requests
Maintain mailing lists
Order office supplies
Maintain office equipment and arrange service when needed
Answer phones and respond to office inquiries professionally

Communications

Produce the monthly Journal Highlights newsletter
Prepare church mailings
Coordinate memorial gift acknowledgment letters
Maintain the weekly prayer list

Congregational Care Support

Assist the Congregational Care Team
Coordinate the church Lending Closet
Communicate with Prayer Partners
Help organize congregational care mailings and communications

General Office Support

Provide administrative assistance to church committees, ministry teams, Sunday School, and small groups
Complete other duties as assigned

Qualifications

We're looking for someone who is:

Highly organized and able to manage multiple priorities
Friendly, welcoming, and enjoys working with people
Self-motivated and able to work independently
Detail-oriented with strong follow-through
Comfortable maintaining confidentiality

Preferred Qualifications

Previous administrative or church office experience
Experience with Planning Center (or similar church management software)
Basic financial or bookkeeping experience
Proficiency in:
Microsoft Word
Microsoft Excel
Google Workspace
Canva
Excellent written and verbal communication skills
Strong problem-solving and organizational abilities

Pay: $16.00 - $18.00 per hour

Work Location: In person
