Job Title: Administrative Clerk

Department: Administration

FLSA Status: Non-Exempt

Reports To: City Clerk

Location: Vine Grove, Kentucky

Position Summary:

The Administrative Clerk serves as the first point of contact for the public and provides a wide range of administrative and clerical support to city departments. This position is responsible for front desk reception, answering phones, data entry, records management, and general office support duties. The ideal candidate will be professional, organized, customer-focused, and capable of maintaining confidentiality while working in a fast-paced municipal environment.

Essential Duties and Responsibilities:

Greet and assist visitors, answer and direct phone calls, and respond to inquiries in a courteous and professional manner

Perform clerical tasks including filing, scanning, copying, and faxing documents

Process incoming and outgoing mail and deliveries

Maintain accurate and organized filing systems (both paper and digital)

Prepare and distribute correspondence, reports, and notices as directed

Enter and update data in city databases and software systems

Accept payments, issue receipts, and balance daily cash receipts as needed

Adhere to the confidentiality requirements of sensitive information

Perform other related duties as assigned by supervisor

Minimum Qualifications:

High school diploma or GED required

Two years of experience in administrative support, customer service, or clerical work preferred

Proficiency with Microsoft Office (Word, Excel, Outlook) and general office equipment

Ability to communicate clearly and professionally, both verbally and in writing

Strong organizational skills and attention to detail

Ability to prioritize and manage multiple tasks

Ability to maintain confidentiality and comply with city policies and applicable laws

Familiarity with local government procedures and terminology is a plus

Working Conditions and Physical Requirements:

Primarily indoor office environment

Prolonged periods of sitting at a desk and working on a computer

Occasional lifting of items up to 25 pounds

Interaction with the public, including potential exposure to difficult or emotional customers

Salary and Benefits:

Starting salary: Commensurate with experience
Full-time position with benefits including health insurance, retirement, paid time off, etc.
