Job Overview

We are seeking a dynamic and highly organized Front Desk Clerk to serve as the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and technical proficiency will help create a positive experience for visitors, clients, and team members alike. This position offers an exciting opportunity to utilize your office management skills, multitask efficiently, and contribute to a professional environment that values productivity and client satisfaction.

Duties

Greet visitors and clients warmly, ensuring a positive first impression at all times
Manage multi-line phone systems, directing calls accurately and professionally using phone etiquette
Handle data entry tasks with precision, maintaining accurate records in spreadsheets and databases
Utilize office management software such as QuickBooks, Microsoft Office, Google Workspace, and other productivity tools to support daily operations
Schedule appointments, manage calendars, and coordinate meetings for staff or medical/dental offices as needed
Perform clerical duties including filing, proofreading documents, and preparing correspondence using word processing software
Support bookkeeping activities by tracking invoices, payments, and maintaining financial records with attention to detail

Experience

Proven office experience with strong organizational skills and the ability to multitask efficiently in a fast-paced environment
Previous clerical or administrative experience involving data entry, filing, and document management
Familiarity with customer service principles and client communication strategies
Technical proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with productivity software such as Spreadsheets and Calendar management tools
Experience working with multi-line phone systems and providing excellent phone support with professional etiquette
Bilingual abilities are highly desirable to assist diverse client needs
Knowledge of QuickBooks or bookkeeping software is a plus for handling financial transactions effectively
