Job Overview
We are seeking a dynamic and welcoming Front Desk Agent to serve as the first point of contact for our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure a smooth and professional environment. Your energetic approach and organizational skills will help create a positive experience for visitors, clients, and team members alike. Duties

Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
Answer multi-line phone systems promptly and courteously, directing calls efficiently to the appropriate departments or individuals
Manage appointment scheduling, calendar management, and coordinate meetings using Microsoft Office and Google Workspace tools
Handle data entry, filing, proofreading, and maintain accurate records to support office operations
Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
Provide excellent customer support by addressing inquiries via phone or in person with patience and clarity
Support clerical tasks including typing documents, managing office correspondence, and maintaining organized files

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Experience in office management or administrative roles with a focus on customer service excellence
Bilingual abilities are highly valued to assist diverse client needs
Familiarity with multi-line phone systems and phone etiquette to handle high call volumes professionally
Attention to detail in proofreading, data entry, filing, and record keeping
Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
Knowledge of bookkeeping software such as QuickBooks is advantageous for supporting financial tasks
