Full Job Description

Mission: The purpose of Family Services is to assist individuals, families and the community in meeting the complexities of daily living by fostering the ability to develop and maintain positive relationships and promote healthy, independent personal development, and responsible social functioning.

Job Description: This role will be responsible for overseeing all administrative operations including providing direct supervision over the agencies support/ receptionist team and managing facilities operations. The Manager of Administrative Operations also functions as the liaison to the Board of Directors and provides executive assistance to the Chief Executive Officer.

Responsibilities:

· Provides direct administrative support to the Chief Executive Officer.

· Assists CEO in management of contractual obligations.

· Functions as liaison to the agency Board of Directors.

· Schedules and takes minutes of all agency board and committee meetings.

· Oversees vendor relationships and use of services related to agency cellular phones, agency landline phone system and all printer and photocopier hardware and support needs.

· Oversees purchasing requests for basic office supplies and needs.

· Maintains multiple federal, state and county computer portals.

· Provides supervision to support staff and ensures support team is efficient, professional, helpful and supportive to all agency direct service professionals, and friendly and compassionate to all clients and visitors.

· Other assignments and tasks may be added at the discretion of the CEO.

Requirements: Anassociates degree required, Bachelor’s degree preferred. The ideal candidate will have at least 5 years working in an office setting, preferably working in support of a chief executive, a senior administrative team and/or a board of directors. Must have strong reading and writing skills necessary for grant and contractual reviews. They will demonstrate robust computer skills and be a fast typer. Prior experience working in leadership with supervisory experience is a plus. Must be organized, detailed oriented, able to respond quickly to administrative needs while concurrently managing several projects with different timelines and objectives. Full time position, Monday - through Friday for a 40 hr. week.
