Position: Office Assistant

Location of Position: Upper Valley Pastoral Center-San Juan

Department: Pro-Life

FLSA Status: Part Time, Non-Exempt

Reports To: Associate Director of Pro-Life

Job Summary: The Office Assistant provides technical and clerical support to the Director and Associate Director by performing the secretarial duties for the Pro-Life Office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties are considered essential to the successful performance of this position. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions:

· Answer phone calls, take messages, handle correspondence
· Copy and duplicate material
· Develop promotional material for Pro-Life events
· Develop and maintain a filing system
· Organize and service meetings, producing agendas and taking minutes
· Maintain and manage the inventory of Pro-Life materials and place appropriate orders
· Document expenses and hand-in reports
· Perform additional tasks as requested by the Director and/or Associate Director

Qualifications:

· Committed to the teachings of the Catholic Church and the Pro-Life movement.
· Minimum one (1) to two (2) years of recent experience in secretarial/clerical functions.
· Ability to relate to people of diverse family background, experience and education.
· Ability to communicate and write effectively in English and Spanish
· Translation skills preferred
· Knowledge of and recent association with parish community life
· Good secretarial skills (communication, customer and team working skills)
· Organized and self-motivated
· Flexible working schedule
· Valid and clean driver’s license

COMPENSATION AND BENEFITS

Salary: Salary commensurate with experience.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit; use hands to handle or feel; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, and ability to adjust focus. While performing the duties of this job, must be able to talk, hear, and see. Must have ability to observe details at close range and be able to communicate and exchange accurate information so others will understand. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and ability to adjust focus. Regularly required to stand, sit, walk, use hands/fingers to handle or feel. Must be able to remain in a stationary position 50% of the time. Will need to move around in the office and position themselves to access or maintain files in filing cabinets, or to operate office machinery, etc. Constantly be operating a computer, calculators, copiers, printers, or scanners, etc. Must be able to climb. Occasionally you may climb stairs, step ladders, ascend/descend a step ladder. Must be able to stoop, kneel, or crouch to position self to maintain files from filing cabinets, etc. Must be able to carry, lift and/or move up to 10 pounds and occasionally carry, lift, and/or move up to 30 pounds.

WORKING CONDITIONS: The work area is a professional office environment. The noise level in the work environment is usually moderate. This is a twenty-hour per week, part-time non-exempt position. Office hours for this position will vary from 8:00 a.m. to 5:00 p.m. Monday through Friday. Occasionally, some late afternoon, evening or weekend work may be necessary. Diocesan fleet vehicles are available for this position. If no fleet vehicle is available for use on a given day, the use of personal vehicles with mileage reimbursement is available for diocesan business use.
