Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, fostering a productive workplace, and providing exceptional support to staff and clients alike. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to manage multiple responsibilities efficiently. As an Office Manager, you will be the backbone of our office, creating an inviting atmosphere while maintaining operational excellence.

Duties

Oversee daily office operations, including supply management, facility maintenance, and administrative procedures
Manage front desk activities, greeting visitors and directing phone calls with professionalism and courtesy using multi-line phone systems
Coordinate calendar management, scheduling meetings, appointments, and events to optimize team productivity
Maintain accurate records through data entry, filing systems, and spreadsheet management using productivity software like Microsoft Office and Google Sheets
Handle client communication and customer support inquiries with a friendly and professional approach
Prepare correspondence, reports, and Word processing documents ensuring clarity and accuracy
Support bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial record keeping
Assist with clerical duties such as photocopying, faxing, mailing, and managing office supplies inventory

Experience

Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheet management
Familiarity with QuickBooks or similar accounting software for financial transactions and record keeping
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Strong computer literacy including data entry, file management, and technical proficiency with office productivity tools
Exceptional phone etiquette skills along with experience managing multi-line phone systems and client communication
Bilingual abilities are highly desirable to support diverse client needs and enhance team communication
Previous experience working at a front desk or as a personal assistant is advantageous for understanding client interaction dynamics
