Job Summary

We are seeking a dynamic and detail-oriented Office Admin / Accounting professional to join our team! This role offers an exciting opportunity to manage essential administrative functions while supporting our accounting operations. You will play a vital part in maintaining accurate financial records, ensuring smooth office workflows, and assisting with various bookkeeping and accounting tasks. Duties

Ability to work in a fast-paced environment with continuous interruptions.
Collaborate and assist other departments to ensure efficient workflow and accuracy
Must have good oral and written communication and organizational skills.
Ability to organize workload for timely accomplishment of work.
Ability to communicate with all Company employees/customers/suppliers in a businesslike and professional manner.
Must have strong analytical skills.
Possess strong overall office skills, including use of computers, their applications, and other office equipment.
Answer incoming phone calls.
Check customers/employees in and out.
Process payments and invoices.
Assist with daily office operations.
Keep the reception area clean and organized.
Process and review invoices for accuracy and appropriate documentation.
Manage pay applications, ensuring timely and accurate submission and processing.
Maintain vendor files and handle vendor inquiries.
Reconcile vendor statements and resolve discrepancies.
Assist in month-end closing and accruals.
Maintain accurate records and documentation for all accounts payable transactions.
Assist with audits and provide necessary documentation.

Requirements

Bilingual (English/Spanish) preferred
Strong proficiency in accounting software such as QuickBooks Online, Xero, Sage, or similar platforms; experience with QuickBooks is highly preferred
Skilled in spreadsheet management using Excel or other spreadsheet tools for data analysis and reporting
Experience with payroll processing, accounts payable/receivable management, and general ledger reconciliation
Strong organizational skills with attention to detail; ability to handle multiple tasks efficiently in a fast-paced environment

Pay: Up to $18.00 per hour
